About Roots to Change
Create, Explore & Grow is an after-school and holiday programme by Roots to Change, designed to give children a fun, supportive and inspiring space to learn, play and connect.
Through nature-based experiences, outdoor activities and creative projects, children are encouraged to explore new interests, develop confidence and build meaningful friendships.
Grounded in Roots to Change’s mission to help equip children with the skills, confidence and tools to support all aspects of their learning, the programme provides a safe and nurturing environment where children can grow, express themselves and thrive.
Led by qualified primary school teacher Polly Newall, sessions are thoughtfully designed to balance creativity, wellbeing and play while supporting children’s personal and social development.
Activities Include:
• Nature walks and outdoor exploration
• Mindfulness and wellbeing activities
• Outdoor play and games
• Arts and crafts
• Creative group projects
• Social connection and confidence-building activities

Roots to Change – Create, Explore & Grow
2. Cancellation and Refund Policy
These Terms and Conditions apply to all bookings made for the Create, Explore & Grow after-school and holiday programmes operated by Roots to Change.
By booking a place for your child, you agree to the following terms.
1. Bookings and Payment
- All bookings must be completed by a parent or legal guardian.
- Places are subject to availability and are only confirmed once payment has been received.
- Payment must be made in advance of attendance.
- Roots to Change reserves the right to refuse or cancel bookings if payment is not received.
- Cancellations made more than 14 days before the start of a booked session may be eligible for a refund, minus an administration fee.
- Cancellations made within 14 days of the programme start date are non-refundable.
- No refunds will be given for missed sessions, illness, holidays or non-attendance.
- In exceptional circumstances, Roots to Change may offer a credit or transfer at its discretion.
- If Roots to Change cancels a session, a full refund or alternative session date will be offered.
- Children must be dropped off and collected within the stated programme times.
- Parents or guardians must inform staff in advance if someone different will be collecting their child.
- Identification may be requested for authorised collectors.
- Late collection may result in an additional charge.
- Children will only be released to authorised adults listed on the registration form.
- Parents or guardians must provide accurate medical information, including allergies, dietary requirements, medications, and emergency contact details.
- Any changes to medical or emergency information must be shared before attendance.
- Medication required during programme hours must be clearly labelled and handed directly to staff.
- In the event of an accident or emergency, Roots to Change staff will administer appropriate first aid and contact parents or guardians as soon as possible.
- If emergency medical treatment is required, staff may seek medical assistance on behalf of the child.
- Children are expected to behave respectfully toward staff, other children, equipment, and the environment.
- Bullying, unsafe behaviour or repeated disruption may result in a child being removed from activities or asked to leave the programme.
- Parents or guardians may be contacted to collect their child if behaviour presents a risk to themselves or others.
- No refund will be issued if a child is removed due to serious or repeated behavioural concerns.
- Roots to Change is committed to safeguarding and promoting the welfare of children.
- Children remain under staff supervision during programme hours.
- Staff hold relevant qualifications, including Enhanced DBS clearance and first aid training where appropriate.
- Ratios of adults to children will be maintained in accordance with good practice and programme requirements.
- Photographs or videos may occasionally be taken during activities for promotional or programme purposes.
- Parents or guardians will be asked to provide consent during registration.
- No child’s image will be used publicly without prior consent.
- Children should bring clearly labelled belongings.
- Roots to Change cannot accept responsibility for lost, damaged, or misplaced personal items.
- Valuable items should not be brought to sessions.
- Parents or guardians are responsible for informing staff of allergies or dietary requirements.
- Children may be asked to bring packed lunches or snacks depending on programme arrangements.
- Roots to Change aims to provide a safe environment but cannot guarantee a completely allergen-free setting.
- Roots to Change reserves the right to make reasonable changes to activities, staffing, venue or programme structure where necessary.
- Any significant changes will be communicated to parents or guardians as soon as possible.
- While every effort is made to ensure children’s safety, participation in activities is at the parent or guardian’s own risk.
- Roots to Change is not responsible for injuries sustained through normal play or participation unless caused by negligence.
- Parents or guardians remain responsible for ensuring their child is suitable to attend and participate in activities.
- Personal information collected during registration will only be used for programme administration, safeguarding, emergency contact and communication purposes.
- Roots to Change will handle personal information in accordance with applicable UK data protection legislation.
By booking a place, parents or guardians confirm that they have read, understood, and agree to these Terms and Conditions.
