Legislation and relevant guidance:
4. Cancellations, Amendments, Transfers and Credits
Tayplay Activity Camps is a service provider, and therefore experiences substantial loss as a result of last minute client cancellations where the place/service is not rebooked.
Following a booking our standard policy applies;
14+ days before the session: Full refund or credit
13–8 days before the session: 100% credit.
7–0 days before the session: No refund or credit.
7-0 days before the session WITH Tayplay PLUS: Move day or Credit
* please note that certain childcare voucher providers do not accept refunds (EdenRed) and some apply administration fees for returning funds (Bravo Benefits), in these cases a credit would be issued instead.
5. TayPlayPLUS
TayplayPLUS is an optional add-on that offers parents greater flexibility. With TayPlay PLUS, you can receive 100% credit or amend your booking up until the start time of your session. This allows you to move your booking to another available date, venue or session, or receive credit to use towards a future booking.
Any amendment or request for credit must be made before the original session start time and is subject to availability.
TayPlay PLUS must be purchased at the time of booking and is non-refundable once purchased. It cannot be added retrospectively after a cancellation or amendment has been requested. TayPlay PLUS is only valid once payment has been made, and with no exception, amendments cannot be made after the session has started.
6. Camp Hours, Extended Hours and Late Collections
Standard camp hours are 9:30am - 4:30pm, with the option to add on “extended hours”. Early Birds 8:30am - 9:30am, and Evening Eagles 4:30pm - 5:30pm.
7. Camp Cancellations by TayPlay
We reserve the right to cancel any scheduled children's activity camp if a minimum number of participants is not met. In the event that a camp is cancelled due to insufficient numbers, we will provide as much notice as possible and offer affected participants the choice of a full refund/credit or transfer to an alternative venue.
We may send out a pre-warning email if numbers are low in the days prior, however the cancellation options/refunds will only be given if Tayplay confirms cancellation in writing.
We are not liable for any additional costs incurred by participants due to such cancellations. Minimum numbers per day will be displayed on the camp pages where possible.
8. Medical, Illness & Injuries

10. Property and Lost Property
All your childs personal property remains your responsibility and Tayplay Activity Camps is not responsible or liable for any lost of damaged property whilst attending a session. We do not allow mobile phones, and valuables to be bought to camp.
Items such as lunchboxes, water bottles, coats etc should be clearly labelled with your childs name.
All lost property will remain on site, until the last day of the camp block, and should be collected prior to this. Any unclaimed lost property will be donated to charity or recycled.
11. Complaints and Feedback
We welcome feedback and take complaints seriously. Any complaints, concerns or feedback should be submitted in writing to info@tayplayactivitycamps.co.uk so that they can be reviewed and dealt with appropriately.
Please allow up to 10 working days for a full response. This allows us sufficient time to review all relevant details, speak with the appropriate members of staff and investigate the matter thoroughly. We ask that parents/carers do not chase for an update during this period, unless there is additional information that they feel is important to the investigation.
On-site staff are unable to formally deal with complaints.

TayPlay Activity Camps are committed to ensuring that policies and procedures remain up to date and are reflective of current legislation and guidance.
Please read these terms and conditions carefully.
By completing your booking with TayPlay Activity Camps you accept these terms and conditions within our booking & cancellation policy (which constitutes a legal agreement).
- Bookings and Eligibility
- Bookings in relation to all Tayplay Activity Camps services are to be made through Tayplays website / EnrolMy booking system by a parent/guardian.
- Subject to camp availability, bookings may be accepted on the same day as the service starting, at an additional £5 to the camp full day cost.
- Bookings made via an external provider, such as a school, council or governing body, then a member of the Tayplay Activity Camps team will aim to action the request and invoice for the services appropriately.
- On-site camp staff are unable to authorize or override any changes to your booking. Any amendment or cancellation request must be made in writing to Tayplay Head Office and can only be made in accordance with the other points within this policy.
- Our social media channels such as Facebook and Instagram are not monitored. All correspondence, particularly in relation to amending bookings, should be sent via email.
- All bookings are considered as ‘provisional’ until full settlement is received, and as such no services will be provided to the client by Tayplay Activity Camps until any outstanding funds are paid in full. Payments via childcare vouchers that are pending are not considered full settlement and alternative means of payment should be sought. Payment on the day can be made by QR code to allow for entry.
- Should a booking be made and not honored by the client, i.e. non-payment/no show, Tayplay utilizes a black-list system. Repeat offenders will be prohibited from making any further bookings with Tayplay Activity Camps.
- Sibling discounts and discount codes cannot be added retrospectively to bookings and can only be accepted at the time of booking. Sibling discount is automatically applied during the booking process when booking for multiple children. It is the responsibility of the person making the booking to provide the correct information and input this correctly at the time of booking.
- In accordance with our Ofsted registration and for us to comply, children are able to attend a TayPlay Activity Camp from the September following their 5th birthday. Non-Ofsted registered venues the child must be age 5. Children between the age of 4.5-5 may attend for half days only - half days at selected venues are subject to availability and can be arranged by contacting us via email. By submitting a booking, you understand and agree that your child meets this age criteria. Our Ofsted registered sites are Whitwick, Ashby, Lutterworth, Cambourne and Holywell
- During some activity camps at selected venues, TayPlay offers a ‘Young Leaders’ programme. This programme is strictly for children aged 12-14 ONLY. It is the responsibility of the parent/carer to book the correct camp for their childs age as of the day of the camp. Should the incorrect camp be booked for an underage child, the parent/carer will be contacted to resolve. More information regarding Young Leaders can be found on our website.
- At selected venues we may offer a short day - these are subject to arrangement with the TayPlay team - the cost of this can be advised by request.
- Due to the nature of TayPlay and the differing activities we offer each day, no two days are the same. We appreciate that some children may find this difficult and we would always recommend booking a day at a time when new to the TayPlay experience. This gives children the opportunity to adjust to the way our activity camps are run. Our standard cancellation policy applies for all bookings.
- All children attending TayPlay Activity Camps must have a good level of spoken English, sufficient to understand and follow instructions from our activity leaders and to communicate effectively with staff and other children. This is particularly important for the child’s safety, as they must be able to understand important instructions, safety guidance and emergency procedures. This requirement applies to all children, including those attending from overseas.
- Children attending TayPlay Activity Camps must be toilet trained. Our staff are unable to change nappies or provide personal toileting assistance. Parents/carers should ensure their child is able to use the toilet independently before attending camp.
- Parents/carers are responsible for providing accurate and up-to-date information about the child attending camp. This includes, but is not limited to, their date of birth, medical information, allergies, additional needs and any other information that may affect their care or safety while attending. Suitable and up-to-date emergency contact details must also be provided. Parents/carers must inform TayPlay of any changes to the child's information or emergency contacts as soon as possible.
- Payments can be made via Debit/Credit Card, Bank Installments, Direct Bank Transfer, Childcare Vouchers, Student Finance and Government Tax Free Childcare.
- Payment for bookings must be made in full, and cleared into our account prior to the service starting.
- If a booking is from an external provider, school, council or governing body, a sales invoice will be issued prior to the service taking place, if required. This will be due for cleared payment prior to attendance.
- Should cleared payment not be received following a provided service, this will be passed onto our legal recovery team to be dealt with accordingly.
- Tayplay Activity Camps can also support parents/guardians in receipt of Universal Credit - approved invoices for submission to UC can be found within your EnrolMy Account. Tayplay Activity Camps cannot be held responsible for declined claims, or assist with completing forms. The decision made by Universal Credit is final.
- Should the parent/guardian be in receipt of student finance, Tayplay Activity Camps can request partial settlement via CCG - please ask the team for more information on how to get this set up and link your child/children to our account. The remaining 15% would be payable directly to Tayplay Activity Camps, prior to the camp date as per our booking terms.
- Under no circumstances are we able to refund a payment made, so that an alternative payment method can be used. This includes refunding debit/credit card or BACS payments, so that a payment can be made via gov tax free for example.
- Any overpayments of any value, via any payment method, will remain as credit and are not eligible for refund under any circumstances.
- Any credit issued by TayPlay will be valid for 12 months from the date it is issued. Any unused credit remaining after this period will automatically expire and cannot be refunded or extended.
- Any request to cancel or amend a booking, whether due to illness, a change in circumstances, an error when booking or otherwise, must be received by TayPlay Activity Camps Head Office in writing before the booked session date. Requests made verbally, or to staff at any camp venue, cannot be accepted, as on-site staff are unable to process booking amendments or cancellations. Once the booked session date has passed, we are unable to offer a refund, credit, transfer or any other remedy under any circumstances.
- Bookings cannot be transferred between siblings/friends for non-attendance - bookings are strictly for the child in which it has been booked and are non-transferable.
- In line with other childcare providers, we are not able to swap booked days as and when at the parents discretion, particularly at late notice unless the day is covered by TayPlay PLUS add on. We reserve the right to refuse entry for children who are not booked in with us for that day.
- Extended hours can be added onto a booking at the last minute if required, however settlement for the additional cost must be made by bank transfer or QR code on arrival only. Not childcare vouchers.
- We regret that extended hours cannot be removed/swapped or transferred from a booking and therefore not eligible to be refunded at any stage.
- We are unable to accept any children into our care prior to the session start time booked. Staff may be present/on site setting up for the day, however cannot provide care until 8:30am onwards. Parents/carers should not leave the venue until the child has been successfully signed in.
- Should the client drop off a child early, or pick up a child late without prior booking of early birds or evening eagles, the additional charge for the hour will be added to the booking, and payment will be required immediately. We act upon a 15 minute grace period. ‘Early’ is defined as dropping off pre 9:15am. ‘Late’ is defined as collected after 4:45pm. The charge is dependent upon venue, please refer to our venue timetable for more information.
- Should the client be late to collect a child from any venue after 5:30pm a charge will be applied to cover additional staff time. Charges apply after 5:35pm. Up to 5:45pm £10. After 5:45pm £10 + staff wages. If we have no contact from a parent/guardian by 6:00pm we will contact Social Services to advise them we have an uncollected child. Any late fee will be due immediately with no exception and is applied per “family”. We reserve the right to refuse future bookings from parents who continually pick up late.
- Parents/carers agree to Tayplay administering first aid to their child, if and when necessary. It is the responsibility of the parents/carers to inform Tayplay of any allergies to plasters/antiseptic wipes etc.
- It is the responsibility of parents/carers to ensure that the medical and additional needs information regarding a child is correct and up to date. This must be submitted at the time of booking, and any changes must be communicated in writing via email to [email=safeguarding@tayplayactivitycamps.co.uk]safeguarding@tayplayactivitycamps.co.uk[/email].
- TayPlay are unable to provide care for children who are unwell. Parents/carers accept that they must arrange to collect their child immediately, should an episode of sickness (physical vomit) and/or diarrhoea, or high temperature occur whilst at our provision. No refunds will be permitted.
- We operate a strict 48-hour exclusion, for sickness and/or diarrhoea from the last episode and until the child has made a full recovery. Should TayPlay feel this point has not been reached or if the child is unwell in themselves, we reserve the right to ask for the child to be collected immediately/refuse entry to the camp, without refund or credit of any monies paid.
- Under no circumstances should children carry medication such as calpol or paracetamol, in their own bags.
- Tayplay will only administer medication if it has been prescribed by a doctor or other health professional along with a completed medication form.
- TayPlay staff will not administer Calpol, paracetamol or other medication for the purpose of reducing symptoms to enable a child to remain at camp. If a child is unwell and requires medication to manage their symptoms or enable them to participate, they will need to be collected from camp.
- Children who have a broken bone or other injury and are wearing a cast, plaster, splint or similar support may attend camp at their parent/carer’s discretion. Parents/carers should consider whether their child is well enough to participate safely in the activities provided. TayPlay staff may restrict participation in certain activities where necessary to protect the child from further injury.
- Physical/verbal abuse towards staff and/or other children
- Intentional discriminatory and/or racist behaviours towards staff and/or other children
- Behaviour actions which compromise the safety of the child, staff members and/or other children
- Intentional damage to facilities
