There have been many changes in the Out of School Care industry recently. sKids have implemented new systems in response to legislative changes such as the Vulnerable Children Act, Workplace Health & Safety and more recently the Food Act.
OSCAR Accreditation Standard, Level 3
There have also been changes in compliance with the Ministry of Social Development raising the OSCAR Accreditation Standards to Level 3. All sKids programmes have OSCAR Approval status which allows eligible parents to access Work & Income NZ OSCAR subsidies. sKids Head Office oversees the operation of the programmes, providing all necessary policies and documentation, and training for staff and business operators. We are subject to regular inspection visits by the MSD OSCAR assessors.

1:10 with a minimum of 2 staff on site at any time. Holiday Programme trip days 1:8 and higher risk activities such as swimming, 1:4.

- 1. Personal Details
* We collect information for contractual and legal obligations, in line with the Privacy Act 2020, Children's Act 2014, Oranga Tamariki Act 1989, and other relevant legislation.* Information may be accessed by the Ministry of Social Development, relevant government departments, and audit organisations.* You can view and update your child's information anytime via the Enrolmy Parent Portal.* Request our Privacy Policy from privacy@skids.co.nz or www.skids.co.nz.* Provide accurate personal details for all bookings.* We may use your contact details for programme information, events, promotions, and customer feedback.* Additional information may be required for specific activities.* Enrolment is only complete when all required booking and safety details are completed.* We may request proof of identification or address.* Provide contact details for at least three people: the primary caregiver plus two emergency contacts.* Detail any medical conditions, allergies, chronic illnesses, or injuries in your child's profile.* We administer medication only with a completed sKids-approved Medical Consent Form.* We include children with disabilities or additional needs where we can reasonably meet their needs without compromising safety. A Special Needs Assessment Form and trial period may be required.* Provide access or custody arrangements on the Safety Form. Notify us in writing of any court-sanctioned changes and provide supporting documentation on request.* It is your responsibility to keep personal and emergency details up to date in Enrolmy.2. Drop Off / Collection / Release of a Child* Children must be signed in and out using the site device, QR code, or sign-in/out sheets.* We release children only to authorised pickup people listed on the child's account.* Keep the authorised pickup list up to date.* We may request photo ID at pickup.* We may refuse to release a child to anyone who appears under the influence of alcohol or drugs, or who may pose a risk to the child. In that case we will seek police assistance if needed.3. Absences, Changes and Cancellations* Bookings are charged based on reserved days, not attendance, unless cancelled with the correct notice below.* Before School Programmes: notify the programme before 7:00am on the day of absence.* After School Programmes: notify the programme before 2:30pm on the day of absence.* Holiday Programmes: notify the programme before 8:30am on the day of absence.* Please notify absences by text or email to the site contact: 027 605 0436 or hamiltoneast@skids.co.nz.* If a child is booked and we are not notified of the absence, a no-show admin fee of $25 may apply in addition to the session fee. This supports staffing and child safety follow-up.* Sick days may be credited only if a medical certificate is supplied within 7 days of the absence.* To cancel a booking without charge, or to receive a credit, provide at least 2 weeks' written notice by email to hamiltoneast@skids.co.nz.* To change regular booked days, provide at least 2 weeks' written notice by email to hamiltoneast@skids.co.nz.* Session swaps are not automatic. Swaps are only allowed if approved by us in writing and if space is available. If a swap is approved, the new session is confirmed and the original session is closed.* Cancelling any day(s) on a term or regular booking after confirmation may remove any term/regular discount, and normal rates will then apply.* No refunds for absences.* No refunds for public holidays. Public holidays are charged at the normal applicable rate where they fall on a booked day.* No refunds for Teacher Only Days on full-term or regular bookings. These are charged at the normal applicable rate where they fall on a booked day.* Credits issued remain valid for 12 months from the date of issue, after which they expire.4. Fees and Payments* Programme fees are shown during booking and may change for future programmes.* Regular bookings are charged for booked days. Extra days are charged at casual rates.* Sibling or other discounts are at our discretion and may change or be withdrawn for future bookings.* Holiday Programme places must be prepaid, or paid as required at booking, to confirm the place.* Payments may be made by card online, bank transfer, or automatic payment. We do not accept cash or cheques on site.* Card payments may include merchant fees, which are shown before payment is completed.* Invoices are sent weekly to your Enrolmy parent dashboard.* Payment is due within 7 days of the invoice date, unless we agree another arrangement in writing.* If you are applying for a WINZ OSCAR subsidy, you must provide your WINZ customer number. You remain fully responsible for the booking and all fees. Any non-subsidised amount must be paid on time. If a subsidy is delayed, reduced, or declined, you are responsible for paying the balance.* The caregiver who makes the booking is solely responsible for payment. We do not accept split payments between caregivers.* Accounts must be kept up to date. If an account is overdue, we may pause or cancel future bookings, refuse new bookings, and/or require prepayment before return.* If a payment plan is agreed and any payment is missed, the full outstanding balance becomes due immediately and bookings may be paused until the account is brought up to date.* Overdue accounts may be referred to a debt collection agency. Reasonable collection costs may be added to the balance.* A late pickup charge of $10 per 10 minutes, or part thereof, will apply after programme close.* Invoice queries must be raised within 7 days of the invoice date. After that, the invoice will be treated as accepted.* We may postpone or substitute activities, locations, transport, or programmes when needed. If we cancel a session, a credit or refund will be provided.5. Health and Safety* We provide First Aid for minor injuries and will notify you. In serious situations we may call an ambulance before contacting parents, and may transport a child for urgent medical care if needed.* We notify parents of all head injuries.* Accidents and incidents are recorded and reviewed.* Children must apply sunblock as required.* Please keep children home if they have a potentially infectious illness, and provide medical clearance before return if requested.* We administer medication only with an approved Medical Consent Form.* For self-administered medication, a Self-Medication Form is required.* We follow a detailed child protection policy.* Transport for day trips is via reputable commercial bus companies. Transport connected with programmes is via commercial operators or sKids-approved staff and vehicles.* Onsite Hazard Registers are available for viewing.* Some activities may be delivered by authorised third-party providers.* Participation in activities may be restricted based on medical, physical, or other needs.* We comply with the NZ Food Act 2014 and are audited. We cannot guarantee an allergy-free environment.* In a civil emergency, staff and children will remain on site until safe collection, or move to a safer location with parent notification where possible.* If a location is shut down due to an imminent threat, staff will follow emergency services instructions and children will not be released until it is safe to do so.6. Photographic and Video Images* We may take headshot photos for identification purposes, unless you opt out.* We may take photos of children's activities for training, marketing, and promotional use, unless you opt out.* We may use selected images for marketing, including social media, unless you opt out.7. Behaviour and Exclusions* We may remove a child whose behaviour impacts safety, in line with our Behaviour Management Policy.* Breaches of a Behaviour Management Plan may result in immediate exclusion.* If a child is excluded, please arrange immediate collection.* We may refuse or cancel enrolment if a parent, caregiver, or authorised collector behaves in a way that impacts the safety of children, staff, or the programme.8. Complaints* We welcome feedback. Account and Communication* Please keep your contact details current in Enrolmy.* We may contact you by phone, text, email, or Enrolmy about bookings, absences, fees, safety matters, and programme updates.* Written notice for cancellations, booking changes, payment plans, and account queries should be sent to hamiltoneast@skids.co.nz.10. Disclaimer* We police vet and train our staff and provide reasonable supervision.* We are not liable for consequences arising from acts or omissions where reasonable and practical steps have been taken.* We are not liable for lost or damaged personal items.* Caregivers are responsible for costs associated with damage caused by their child to sKids property, resources, or host site property.* By enrolling your child, you confirm the details provided are true and correct, that you have read and understood these Terms and Conditions, and that you agree to follow them and our policies and procedures.* We may suspend or terminate enrolment for breaches of these Terms and Conditions.* We are not liable for any loss, damage, or associated costs you may suffer because we exercise our rights under these terms.
