TERMS AND CONDITIONSÂ (Please see below 2025-2026 and 2026-2027)
 Terms & Conditions 2026-2027
- I consent for my child to attend Sherpa Kids School Aged Childcare. I understand that the service has policies and procedures, which are available for reference, and that there are expectations and obligations relating both to the service and to myself and my child, and I agree to comply in accordance with the Sherpa Kids Parent Handbook (2026).
- I consent for photographs of my child/children (headshots only) to be taken for the purpose of identification and recognition by staff.
- My child will be provided with a healthy and nutritious snack and drinking water by Sherpa Kids unless otherwise requested. I understand that I may be asked to provide additional food during Holiday Programmes, early school closure days, or excursions.
- Once my child arrives at the service, they will be in the care of Sherpa Kids until collected and signed out by an authorised person. I understand that it is my responsibility to keep authorised collector details up to date via my Enrolmy parent account.
- I will notify the service in advance by email if I am collecting my child directly from school on a day they are booked to attend Sherpa Kids. I understand that I will still be charged for the booked session unless a valid booking change has been correctly applied in accordance with booking policies.
- I understand that a one‑week gross booking equivalent fee (before NCS) is required as a pre‑payment to confirm a booking, and that this pre‑payment will be applied to June invoices or retained against outstanding fees in line with policy.
- I understand that Sherpa Kids invoices in arrears, that invoices are issued every Thursday for the week completed, and that I can view all invoices and account balances on my Enrolmy parent account.
- I confirm that I will pay for all booked sessions whether my child attends or not, including absences due to illness or holidays, in accordance with Sherpa Kids policy.
- I understand that four weeks’ notice is required for changes, reductions, or cancellations and that all booking changes must be requested by me directly through my Enrolmy account. I understand that Sherpa Kids staff cannot apply, amend, or override booking changes on my behalf.
- I understand that swapping or reducing days or hours can be requested via Enrolmy between September and the end of April, that a maximum of three reductions per academic year is permitted, and that changes take effect four weeks after the request is submitted in Enrolmy.
- I understand that casual bookings may become available later in the academic year via Enrolmy, subject to availability, and that regular booking increases may be requested at any time.
- I understand and adhere to the school settling‑in policy and understand that early collections during the settling‑in period will only apply where explicitly agreed with the school; otherwise services operate from regular school finish times.
- I understand that fees apply as normal for school closure days outside the control of Sherpa Kids or where closure is required for safety reasons. I also understand that Bank Holidays, mid‑term breaks, and Christmas, Easter, and Summer holidays are not charged, and that Holiday HQ programmes may operate and must be booked separately.
- In order to avail of my National Childcare Scheme (NCS) subsidy, I understand that I must submit valid CHICK details via Enrolmy no later than one week before my child commences attendance.
- I understand that it is my responsibility to renew my CHICK code before expiry if I wish to continue to receive the NCS subsidy, and that failure to do so will result in full fees being charged.
- I understand that if my CHICK code is renewed or changes, it is my responsibility to update the details via Enrolmy and ensure they are valid, and that failure to do so will result in full fees being charged.
- I understand that it is my responsibility to approve my child’s attended hours on the NCS/Hive portal, and that NCS subsidies will not be applied unless claimed hours are approved.
- It is my responsibility to keep the service informed in writing of any changes to my child’s information (including contact details, authorised collectors, allergies, medical conditions, diagnoses, or additional needs) by updating my Enrolmy account and notifying the service by email where required.
- I understand that additional charges will apply where my child remains in the service after their assigned collection time, that a 5‑minute grace period applies, and that late collection fees are applied in accordance with the Parent Handbook.
- I understand that after three late collection incidents in one school year, increased late fees will apply during term time, and that different late collection charges apply during Holiday Programmes as set out in the Parent Handbook.
- Whilst Sherpa Kids endeavours to ensure the safety of personal items, I understand that the service cannot be held responsible for loss or damage to my child’s property while attending.
- I confirm that I have read the Parent Handbook and completed the Safety Form required for my child to attend the service.
- I understand that any accidents or incidents involving my child will be recorded and that I may be required to read and sign an incident report.
- I understand that if my child has an accident at the service, they will be treated by a qualified first aider and I will be informed as soon as reasonably possible.
- I understand that aggressive, threatening, undermining, or abusive behaviour towards Sherpa Kids staff will not be tolerated and may result in the immediate withdrawal of my child from the service.

- My child will be provided with a healthy and nutritious snack and drink (water) by Sherpa Kids unless otherwise requested. I may be asked to provide additional foods during Holiday Programmes, early closure days or excursions.Â
- Once my child arrives at the service, they will be in the care of Sherpa Kids until collected and signed out by an authorised person. I will update my parent profile should there be additions or changes to the people I authorise to collect my child/ren. Â
- I will notify the service before the start of the session if I am collecting my child from school on a day that he/she is booked to attend the service. I understand that I will be charged for the booked session on that day, unless it is part of my change of booking policy that I have correctly exercised.
- I understand that an upfront payment on account of 2 week bookings will be required as a prepayment which will then be applied against your invoices at the end of the Academic year or when bookings are cancelled which ever is the earliest.Â
- I understand that invoices are released weekly and that I can view them on my parent profile. I confirm that I will pay weekly for all booked sessions whether my child attends or not (eg due to illness or holidays)
- I understand that 4  weeks’ written notice  by email to support@sherpakids.ie is required for cancellation of bookings.
- I understand that swapping or reducing hours/days to bookings can be made online between the months of September to end of April. Changes will take effect 4 weeks after change actioned in Enrolmy. 3 changes permitted in the academic year.Â
- I understand that casual bookings can be made on Enrolmy at anytime from the start of the academic year, subject to availability. Â Regular increased changes are permitted at anytime.
- Â
- I understand and adhere to the school settling in policy and only offer early collection times for the first weeks if agreed with the school - otherwise services will be open from the regular school finish times.
- I understand that all school closure days outside the control of Sherpa Kids and/or also if a risk of safety to staff/children will be charged as normal. Bank  Holidays, school midterms and holiday periods (Christmas, Easter and Summer) are not charged.  Camps may run at these times and can be booked into separately.
- In order to avail of my awarded NCS subsidy (my childcare discount) in the first week of attendance, I understand I must complete the relevant CHICK data on Enrolmy no less than 1 week before my child commences Sherpa Kids.Â
- I understand it is my responsibility to renew my CHICK Code when it expires should I wish to continue to avail of the government subsidy and that my failure to do so will result in being liable to pay full fees. Â
- I understand that if the CHICK Code details change or are renewed it is my responsibility to communicate them with Sherpa Kids and that my failure to do so will result in being liable to pay full fees.Â
- I understand that it is my responsibility to apply my child/ren NCS subsidised hours on the NCS Portal. NCS will not be applied to my invoices unless I confirm the hours claimed on the NCS Portal.Â
- It is my responsibility to keep the service Co-Ordinator informed (in writing, by email) of any alterations to the information on my parent profile regarding my child (e.g. contact details, authorised collection persons, medical conditions, diagnoses etc..).Â
- The service closes at 6pm during term time and 5:30pm during Holiday Programmes. If, due to unforeseen circumstances, I am going to be late, I will contact the service Co-Ordinator as soon as possible by phone. I understand that I may be liable for a late collection feeÂ
- If I do not collect my child by 6pm during term time or 5:30pm during holiday programmes I will pay a late charge to cover the costs of the staff who are legally required to supervise my child. Please see parent handbook.Â
- Whilst the service tries to ensure the safety and security of items, I understand that it cannot be held responsible for loss or damage to my child’s property whilst at the Service.Â
- I have read the parents handbook and completed the safety form for my child to attend the service.Â
- If there are any accidents or incidents at the service involving my child, I will be informed and may be required to read and sign an incident report form.Â
- If my child has an accident at the service, they will be treated by a qualified first aider and I will be informed as soon as possible.Â
