Baseline Tennis Academy is dedicated to helping players of all ages and abilities discover, develop, and enjoy the game of tennis. Our mission is to create a clear pathway for progression, build strong technical foundations, and foster a lifelong passion for the sport.

Terms and Conditions
1. Registration and Enrolment
Codes of Conduct
Staff and Volunteers agree to:
- Enrolment is confirmed once the safety/registration form is submitted and payment is received, either as a deposit or full payment.
- All participants must provide accurate up to date personal details and notify Baseline Academy of any medical conditions, injuries, or special requirements.
- All payments (deposit or monthly fees) are due based on the options and information given on the booking form.
- Payment must be made by the chosen method and on the specified date.
- Late or missed payments may result in suspension of participation until payment is received.
- Customer Absences: If you miss a scheduled lesson, we are unable to offer a refund or credit. Please notify your coach as early as possible if you cannot attend.
- Weather and Cancellations: If a lesson is cancelled by Baseline Academy due to adverse weather or unforeseen circumstances, a credit note will be issued for future bookings. Refunds may be provided upon specific request.
- Inclement Weather During Sessions: If weather becomes unsafe during a session, indoor space will be utilized where available.
- If a 1-hour length session is cut short due to weather:
- After 30 minutes: The full session fee applies.
- Before 30 minutes: A credit will be issued for the session.

[li]Pre-Lesson Inquiries: If the weather appears unsuitable, please check for any communication from your coach. If you have not heard anything, feel free to contact the coach directly to confirm the session status.[/li]

4. Safeguarding and Child Protection
- Drop-off and Collection: Parents/guardians must escort children to the tennis court gates and remain with them until the lesson begins. Children must be collected directly from the gates and are not permitted to walk through the car park unaccompanied.
- Alternative Collection: Please notify the coach in advance if someone other than the usual parent/guardian will be collecting your child.
- Behavioural Expectations: We expect a high standard of behaviour. Our coaches follow a disciplinary code to manage disruptive behaviour; parents will be informed of any persistent issues or formal actions taken.
All Baseline Academy coaches are:
- LTA Qualified
- Enhanced DBS Checked
- First Aid Trained
- Vetted by our management team
Coaches will attend all scheduled sessions unless travel is deemed unsafe (e.g., heavy snow). In such cases, you will be contacted immediately.
6. Complaints Procedure
We aim to resolve issues quickly and professionally. If you have a concern, please contact us via:

- Participants must wear appropriate clothing and footwear and follow all health and safety instructions.
- The academy is not liable for injuries sustained during normal participation, except where caused by negligence.
- The academy is not responsible for loss, damage, or theft of personal items brought to sessions.
9. Privacy
- Personal information provided to the academy will be stored securely and used for allocation of players and communication regarding programmes, sessions, and events.
- Baseline Tennis Academy reserves the right to update these Terms and Conditions and the code of conduct. Participants will be notified of changes where relevant.
- These Terms and Conditions are governed by the laws of the United Kingdom.
- Prioritise the well-being and safety of all participants at all times.
- Act as positive role models, treating everyone with integrity, fairness, and respect.
- Maintain clear professional boundaries, including on social media.
- Obtain necessary consent before taking or using any photographs or videos for promotional purposes.
- Refrain from physical contact unless necessary for safety, specific technical coaching (e.g., racquet positioning), or sportsmanship (e.g., handshakes).
- Avoid being alone with a child or adult at risk unless exceptional circumstances arise.
- Be friendly, supportive, and respectful toward other players, coaches, and officials.
- Play fairly and listen to coaching instructions.
- Respect Baseline Academy and the club's property and take care of personal equipment.
- Refrain from bullying, intimidation, or the use of inappropriate language, including on social media.
- Report any concerns or worries to the club Welfare Officer.
- Provide positive reinforcement and support for their child’s development.
- Ensure children are delivered and collected punctually with appropriate clothing for the weather.
- Respect all officials’ decisions and refrain from interfering with matches or entering the court during play.
- Maintain updated emergency contact and medical information via our booking system.
- Adhere to the venue’s safeguarding and diversity policies.
