Terms & Conditions — Creative Matters
The following terms apply only to our Westgate activity for December 2025

By participating in this Workshop, I acknowledge and agree to the following:
Activity Details
- This Workshop is a cookie painting activity only. The paints provided are edible.
- Cookies will be painted on-site and must be taken home or gifted off-site; consumption on the premises is not permitted.
Food Safety
- All cookies have been sourced, prepared, and packaged by a commercial kitchen in accordance with NZ food safety standards.
- All staff handling this activity are food safety trained and certified and follow proper food handling procedures.
- All cookies are labelled in compliance with MPI requirements.
Allergen Information
- Main allergens present: Wheat Flour, Gluten, Egg, Soy.
- Potential trace allergens: Nuts, Dairy (cookies are made in a facility that handles both).
Liability and Acknowledgment of Risk
- I acknowledge that consuming or handling cookies may pose a risk of allergic reaction.
- I accept full responsibility for any such reaction or other injury that may occur as a result of participation.
- NZRPG Management (2017) Limited, its employees, contractors, and affiliates cannot be held liable for any allergic reaction, illness, injury, or loss incurred during the Workshop.
Photography & Promotion
By participating in this free Event, attendees consent to the use of any photos or videos taken during the Event for promotional purposes by the Organiser, unless they advise staff otherwise at the time of participation. This consent will be collected by NZRPG upon sign-in.
Event Changes or Cancellation
The Organiser reserves the right to amend, postpone, or cancel the Event at any time without notice due to unforeseen circumstances, health and safety concerns, or at its discretion.
General Conduct
- All participants are welcome while supplies last, this event is by booking only and should arrive 10mins prior to their pre-booked slots.
- Walk ins may be allowed if the space is available. The Organisers have the right to deny anyone entry if they decide it is needed.
- Participants are expected to behave respectfully and follow staff directions at all times.
- The Organiser reserves the right to remove any participant who is acting in a disruptive, unsafe, or inappropriate manner.
Parental / Caregiver Supervision
I confirm that I am the parent or legal guardian of any child participant under 18 years old, and I will supervise them at all times during the Workshop.
Consent
- By signing this waiver, I confirm that I have read, understood, and agreed to the information above.
- I understand that participation is voluntary, and I accept all associated risks.
The following terms apply to both our After School Workshops and Holiday Workshops and are designed to ensure a smooth and fair experience for all.

AFTER SCHOOL WORKSHOPS
Term Bookings
- Classes begin in Week 2 of each school term (unless otherwise stated).
- Full payment is required before the programme begins.
- Weekly payment arrangements are not available.
- Bookings are confirmed once payment is received. Payment needs to clear at least 5 days prior to the term start date.
- We operate on teacher only days as normal.
Class Ratios
- Maximum of 13 children per class with one educator (13:1 ratio).
Missed Classes
- If your child is unable to attend, please text your educator directly.
- Missed classes cannot be made up, refunded, or credited.
Credits Only Policy
- Once the term begins, no refunds will be issued under any circumstances.
- Credits are valid for a future booking within 12 months and are non-transferable.
Class Cancellations
- If a class is cancelled due to external circumstances (e.g. venue closure), a make-up class will be provided in person or online.
- If an educator is sick or isolating, a replacement will be arranged or a make-up class scheduled.
Low Enrolment
- A minimum of 6 children is required for a class to proceed.
- Booking numbers are reviewed 3 days before the first class. If low, the start may be postponed by one week.
- If the class is cancelled after this review, a credit will be issued for the postponed session.

HOLIDAY WORKSHOPS
Payment
- Payment must be made at least 5 days prior to the class.
- Bookings are only confirmed once payment is received.
Unpaid Bookings
- If payment isn’t received on time, your booking will be moved to the Waiting List and offered to the next person.
Unable to Attend
- Please notify us via email (admin@creativematters.co.nz), phone, or text if your child can’t attend.
Credits Only Policy
- We do not offer refunds for holiday workshop changes or cancellations.
- If you notify us at least 5 days in advance, a credit will be issued for use within 12 months.
- Credits are non-refundable and non-transferable.
Cancellations
- Holiday workshops require a minimum of 6 children to proceed.
- If a class is cancelled due to low enrolment, you’ll be notified at least 2 days in advance and issued a credit.

BEHAVIOUR POLICY
Our workshops are for children who are enthusiastic about art and can focus for several hours (with breaks).
If a child is disengaged or disrupting the environment, we may contact you to pick them up early.
In this case, a refund for the unused portion of the session may be offered.

RISK & SAFETY
- Each venue has a current risk assessment, available upon request.
- All educators are police vetted and trained to manage venue-specific risks.
- Children are supervised at all times, and you will be contacted immediately in the event of an incident.

- You may receive emails from us with updates, tips, and early access to workshops.
- Your information will never be shared with third parties.
