Holiday Camp Terms & Conditions
Effective from: September 2026
These Terms & Conditions apply to all bookings made for Yamaha Music School Croydon Holiday Camps, operated by Music Ed Limited.
1. Booking & Payment
1.1. A £20 non-refundable deposit per child is required to secure a place at camp.
1.2. The remaining balance must be paid in full no later than 14 days before the first day of the camp. A place is not considered fully secured until full payment has been received.
1.3. If full payment has not been received by the payment deadline, Music Ed Limited reserves the right to cancel the booking and release the place to another family. The £20 deposit will not be refunded.
1.4. Bookings made within 14 days of the first day of camp must be paid in full at the time of booking.
1.5. All prices are inclusive of any applicable VAT.
2. Camp Prices
Our standard holiday camp prices are:
- Full Day: 9:00am–4:30pm — £50 per day
- Extended Hours: 8:30am–9:00am and/or 4:30pm–5:30pm — additional £12 per day
- Full Week: Monday–Friday, 9:00am–4:30pm — £220
- Sibling Discount: 10% off for additional children from the same family.
Where a promotional offer applies, the terms of that offer will be stated at the time of booking.
3. October 2026 Extended Hours Offer
For October Camp 2026, bookings made by Sunday 20 September 2026 will receive FREE extended hours from 8:30am–5:30pm.
This offer provides extended-hours care at no additional charge. The usual cost of extended hours is £12 per day.
The offer applies only to eligible October Camp bookings made by the stated deadline and cannot be exchanged for cash, transferred to another booking, or applied retrospectively.
4. Cancellations & Refunds
4.1. The £20 booking deposit is non-refundable in all circumstances, except where Music Ed Limited cancels the camp or is unable to provide the booked place.
4.2. If a parent/carer cancels a booking after full payment has been made, refunds will be considered in accordance with the following:
- More than 14 days before camp: the balance may be refunded, excluding the £20 non-refundable deposit.
- Within 14 days of camp: refunds are not normally available because staffing and resources will have been committed based on confirmed bookings.
4.3. If a child is unable to attend for part or all of the camp due to illness, holidays, appointments or other personal circumstances, no refund or credit will normally be provided.
4.4. Where a camp is cancelled by Music Ed Limited, families will be offered an appropriate refund or alternative arrangement.
5. Changes to Bookings
5.1. Requests to change booking dates or sessions should be made as soon as possible and are subject to availability.
5.2. Music Ed Limited cannot guarantee that changes can be accommodated once a booking has been confirmed.
5.3. Promotional discounts, sibling discounts and other offers may not automatically transfer to amended bookings.
6. Arrival & Collection
6.1. Children should arrive no earlier than their booked start time unless extended hours have been booked or a promotional extended-hours offer applies.
6.2. Children must be collected promptly by the booked collection time.
6.3. Parents/carers must provide details of any person authorised to collect their child. Music Ed Limited may request identification where appropriate.
6.4. If a child is going to be collected by someone not previously authorised, the parent/carer must notify the camp team in advance.
6.5. Persistent late collection may result in an additional charge.
7. Late Arrival & Absence
7.1. If a child is going to be absent or arrive late, parents/carers should notify the camp team as soon as possible.
7.2. Missed camp days or late arrival do not qualify for a refund or reduction in the booking fee.
8. Activities & Programme
8.1. The camp programme may include music-making, instrumental activities, group work, creative activities, games, workshops and other age-appropriate activities.
8.2. The advertised programme may be subject to change due to staffing, venue requirements, availability, weather or other circumstances.
8.3. Music Ed Limited reserves the right to make reasonable changes to activities while maintaining the overall nature and purpose of the camp.
9. Behaviour & Safeguarding
9.1. We want our camps to be safe, welcoming and enjoyable for every child.
9.2. Children are expected to follow reasonable instructions from camp staff and behave respectfully towards other children, staff, visitors and the venue.
9.3. Serious or persistent behaviour that puts the child, other children or staff at risk may result in the parent/carer being asked to collect the child.
9.4. In exceptional circumstances, Music Ed Limited reserves the right to refuse or withdraw a child's place where their behaviour presents a significant safeguarding or safety concern.
9.5. No refund will normally be provided where a child is required to leave camp due to serious or persistent behavioural or safeguarding concerns.
10. Medical & Additional Needs
10.1. Parents/carers must provide accurate and up-to-date information about their child's medical needs, allergies, dietary requirements, additional needs and emergency contacts during the booking process.
10.2. Parents/carers must notify Music Ed Limited of any relevant changes before the child attends camp.
10.3. Music Ed Limited will make reasonable adjustments where possible and where appropriate information has been provided in advance.
10.4. Where a child's needs require a level of support that cannot reasonably be provided within the camp setting, Music Ed Limited may discuss alternative arrangements with the parent/carer.
11. Illness
11.1. Children should not attend camp if they are unwell or have an infectious illness that could reasonably put other children or staff at risk.
11.2. If a child becomes unwell during camp, their parent/carer or emergency contact may be asked to collect them.
11.3. Parents/carers must ensure that emergency contact details remain accurate and that they can be contacted during the camp day.
12. Food & Drink
12.1. Parents/carers are responsible for providing any required packed lunch, snacks and drinks unless otherwise stated.
12.2. Any allergies or dietary requirements must be clearly communicated to Music Ed Limited before the child's attendance.
12.3. Children should bring a named water bottle each day.
13. Clothing & Personal Belongings
13.1. Children should wear comfortable, weather-appropriate clothing suitable for active and creative activities.
13.2. Children may be asked to bring additional items depending on the camp programme, such as coats, sun protection or suitable footwear.
13.3. Personal belongings should be clearly labelled.
13.4. Music Ed Limited cannot accept responsibility for lost, damaged or misplaced personal belongings.
14. Photography & Video
14.1. Photography and video may be taken during camp for internal records and, where appropriate permissions have been provided, promotional purposes.
14.2. Parents/carers will be given the opportunity to indicate their photography/video consent as part of the registration process.
14.3. Children without appropriate consent will not be knowingly included in promotional photography or video.
15. Data Protection
15.1. Personal information provided during the booking process will be used for the purposes of administering the camp, communicating with parents/carers, safeguarding children and meeting our legal and regulatory responsibilities.
15.2. Personal information will be handled in accordance with applicable UK data protection legislation and Music Ed Limited's privacy policy.
16. Safeguarding
16.1. The safety and welfare of children attending our camps is our priority.
16.2. Music Ed Limited has safeguarding procedures in place and staff are expected to follow these throughout the camp.
16.3. Parents/carers should provide all relevant safeguarding, medical and emergency information before their child's first day.
17. Liability
17.1. Music Ed Limited will take reasonable steps to provide a safe environment and appropriate supervision.
17.2. Parents/carers are responsible for ensuring that the information provided at booking is accurate and complete.
17.3. Music Ed Limited cannot accept responsibility for loss or damage to personal belongings brought to camp.
17.4. Nothing in these Terms & Conditions limits or excludes any liability that cannot legally be limited or excluded.
18. Acceptance of Terms
By completing a booking for Yamaha Music School Croydon Holiday Camp, the parent/carer confirms that they have read and agree to these Terms & Conditions and have provided accurate information about the child attending.
Music Ed Limited reserves the right to update these Terms & Conditions where reasonably necessary. The applicable Terms & Conditions will be those in force at the time of booking.
