St Alban’s After School Care Policy, Terms & Conditions
Parent Information
To all new parents, we wish you a warm welcome to St Alban’s After School Care. To those of you who have been with us for a while, thanks for your continued support. We are a not for profit community organisation, which provides children in the 5 – 13 year age group with an out of school care and recreation programme that is well supervised, structured, safe, holistic and enjoyable.
General Information
We aim to create a safe, happy and fun environment for your children with a wide variety of activities and games to choose from, both indoors and outdoors. A quiet space and cooking area are also available to us.
Enrolment is finalised upon completion of an enrolment form accompanied by fees in advance for the first two weeks. Please inform the programme co-ordinator of any relevant changes to your enrolment details during the year. It is crucial that we have up-to-date information.
Two weeks' notice in writing is required before dropping days or withdrawing your child from the programme. Failure to do so will incur the full fee for that two-week period. 
Casual attendance can only be accepted with prior notification by the parent/caregiver of the child, and provided that the staff-to-child ratio is not exceeded. Requests for a casual place should be made by phone (027 678 7307) as soon as practicable in advance. See fee schedule for casual fee rates.
Programme Hours
The after school care programme operates from 2:30pm – 5:30pm, Monday to Friday during the school term, unless school closes early in which case we open when school finishes. The programme does not run on public holidays.
Fairfield Intermediate children must arrive at the programme no later than 3:30pm. Arriving later than 3:30pm will result in a written warning. Suspension from the programme will follow three written warnings.
Children may only catch a public bus to the programme if a letter of consent signed by the parent/caregiver has been provided to the programme co-ordinator. These children still must arrive by 3:30pm as the same consequences will apply for arriving late. 
Unless previously organised and agreed with the co-ordinator a late pick up fee applies to children collected after 5:30pm. (5:31pm – 5:40pm =$10.00)  (5:41pm – 5:50pm =$20)  (5:51pm – 6:00pm = $30)
Parents/caregivers are required to notify the programme co-ordinator of an absence, for any reason, as soon as possible, but no later than 2:30pm to avoid unnecessary concern and time in tracking your child’s whereabouts. Please send a quick text or call to the mobile phone (027 678 7307). If we have not been notified and your child does not arrive we will do EVERYTHING we can to locate him/her. You will be contacted immediately. No notice will incur a $5 penalty fee. Late notice will incur a $2 penalty fee. Your child’s safety is paramount to us!
We do not refund fees or provide credits for any absences.
However a total of two weeks per year vacation period can be requested for families wishing to temporarily take their enrolled child/ren out of the programme. This period of care will not be charged to your account but we will hold your enrolment at the centre for when you return. To help us with the administrative process we require two weeks' written notice to be able to amend your enrolment. 
Collecting your child
Parents/caregivers must sign their child out of the programme daily in the provided logbook located in the lounge area. Please ensure you inform one of the after school care staff on the collection of your child.
Parents/caregivers must inform the programme co-ordinator if their child is to be collected by a person not listed on the enrolment form. Staff will not release a child to a person who is not identified on the child’s enrolment form until the parent/caregiver has been contacted. Written permission is required for a child to leave the programme unaccompanied. The final decision is with the co-ordinator.
Behaviour Management
We use behaviour management techniques that encourage self-esteem development. It is our goal to ensure children and families experience an environment where they are safe, secure, respected and their dignity is protected. This is done through the use of positive reinforcement and a stimulating and varied programme to ensure against boredom. Every effort is made to help your child settle into the programme. However, if a child’s behaviour is consistently harmful to other children, parents will be asked to remove him/her from the programme.

Fees are invoiced in advance on a fortnightly basis. Payments are due on the Friday prior to the commencement of the following two weeks. You can pay your account by cash or cheque at the programme. No cash is held on site so cash payments must be the correct amount. Payment can also be made by automatic payment, telephone or internet banking. Please use your child’s surname as a reference. Casual attendance is to be paid on the day of attendance.
Credit is NOT available. Accounts overdue by two weeks will result in the suspension of the child/ren from the programme.
The parent/caregiver will be liable to pay any and all legal and collection charges in connection with St Alban’s After School Care recovering or attempting to recover any overdue amount.
We will provide a light afternoon tea (usually fruit, biscuits or toast) and water is always available. Children are welcome to bring their own snacks including microwave foods – noodles/popcorn/soup etc which the staff will cook for them.
Health and Safety
Please detail any medical condition or allergies, or special dietary needs in the assigned place on the Enrolment Contract. Medicine will not be administered without a Medical Consent Form having first been completed by the parent/caregiver.
In the event of an accident, the parent/guardian signing the Enrolment Contract authorises programme staff to obtain medical assistance as may be deemed necessary at the cost of the signatory. Should your child need to be transported from the site in an emergency situation, the Transport Policy will be adhered to by staff. 
In a civil emergency, the staff will remain with the children until they are collected by a parent/caregiver.
Please do not send along sick children, as we do not have the facilities to care for them. If a child arrives, or becomes ill during programme hours, parents will be called and asked to collect them.
Our Sun Safe policy requires you to provide your child with his or her own named sunhat in terms 1 and 4. 
CYF Guidelines are followed should an allegation or suspicion of child abuse occur.
We have the use of the park situated at the end of the church car park and we also go on group excursions to the Chartwell Library. Please check the weekly programme plan in the lounge as all excursions will be displayed on here in advance.
The programme has a complaints procedure which is displayed above the sign out sheets in the lounge. If you have any problems please approach the co-ordinator, or if necessary one of the clergy, and they will be happy to assist you with your concerns.
The information that you have supplied is necessary for the safe and effective operation of our OSCAR programme. All personal information requested will be destroyed at the completion of your child’s time in After School Care. You are welcome to review information pertaining to your child’s enrolment at any time. Information may also be shared with CYF staff for the purpose of an audit.
