**sKids Programme Enrollment Terms and Conditions**
**1. Personal Details**
* We collect information for contractual and legal obligations, complying with the Privacy Act 2020, Vulnerable Childrens Act 2014, Children, Young Persons and their Families Act 1989, and other relevant legislation.
* Information may be accessed by the Ministry of Social Development, government departments, and audit organizations.
* View and update your child's information via the Enrolmy Parent Portal.
* Request our Privacy Policy: privacy@skids.co.nz or www.skids.co.nz
* Provide accurate personal details for bookings.
* We use contact details for programme information, events, promotions, and customer feedback.
* Additional information may be required for specific activities.
* Enrollment requires complete booking details.
* We may request proof of identification or address.
* Provide contact details for at least three people (primary caregiver plus two emergency contacts).
* Detail any medical conditions, allergies, chronic illnesses, or injuries in your child's profile.
* We administer medication only with a sKids-approved Medical Consent Form.
* We include children with disabilities or special needs if we can meet their needs without compromising safety. A Special Needs Assessment Form and trial period may be required.
* Provide details of access or custody arrangements on the Safety Form. Notify us in writing of any court-sanctioned changes and provide supporting documentation.
* Update personal details via your Enrolmy Parent Portal.
**2. Drop Off / Collection / Release of a Child**
* Sign children in and out using the site device or sign-in/out sheets.
* We release children only to authorized pickup persons listed on the child's account.
* Ensure the authorized pickup list is up-to-date.
* We may request photo ID.
* We may refuse to release a child to anyone under the influence of alcohol or drugs, or who poses a danger to the child. We will seek police assistance.
**3. Absences and Booking Cancellation**
* Before School Programmes: Notify the programme manager before 7:00 AM for absences.
* After School Programmes: Notify the programme manager before 2:30 PM for absences.
* Holiday Programmes: Notify the programme manager before 8:30 AM for absences.
* Provide a medical certificate for sickness absences to receive credit.
* To cancel a booking, provide two weeks notice via email to: hamiltoneast@skids.co.nz
* Cancellation of any day(s) on a term booking, after confirmation, will void the term discount, and normal term rates will apply.
* No refunds for absences or public holidays. Public holidays are charged at normal applicable rates.
**4. Fees and Payments**
* Programme costs are detailed during booking and are subject to change.
* Regular bookings are charged for booked days. Additional days are charged at casual rates.
* Sibling discounts are at sKids' discretion and may change.
* Prepayment is required for booking confirmation.
* Payments can be made online, via bank transfer, or automatic payment. We do not accept cash or cheques at sites.
* Credit card payments incur merchant fees, displayed before completion.
* Invoices are sent to your Enrolmy parent dashboard weekly.
* Provide your WINZ customer number for subsidy applications. You are responsible for non-subsidized fees and fees resulting from declined applications.
* The caregiver making the booking is responsible for payment. We do not accept split payments.
* Maintain an up-to-date account. We may cancel bookings or refuse re-enrollment for outstanding balances.
* Outstanding balances may be referred to a debt collection agency, with added collection costs.
* A late pickup charge of $10 per 10 minutes or part thereof will be applied.
* Two weeks' notice is required for withdrawals or changes to regular days.
* No refunds or credits for absences, and public holidays are charged at applicable rates.
* We may postpone or substitute activities, locations, transport, or programmes. Credits or refunds will be provided for cancellations.
**5. Health and Safety**
* We provide First Aid for minor injuries and notify you. For serious situations, we call an ambulance before parent notification. We may transport children to A&E for urgent medical care.
* We notify parents of all head injuries.
* Accidents and incidents are recorded and reviewed.
* Children must apply sunblock.
* Withdraw children with potentially infectious illnesses and provide medical clearance before return.
* We administer medication with an approved Medical Consent Form.
* For self-administered medication, provide a Self-Medication Form.
* We follow a detailed child protection policy.
* Transport for day trips is via reputable commercial bus companies. Transport from schools is via commercial bus companies or sKids-approved staff and vehicles.
* Onsite Hazard Registers are available for viewing.
* Activities may be delivered by authorized third-party providers.
* Participation in activities may be restricted based on medical, physical, or other conditions.
* We comply with the NZ Food Act 2014 and are annually audited. We cannot guarantee an allergy-free environment.
* In civil emergencies, staff and children will remain at the site until collection or move to a safer location, with parent notification.
* In the event of a location shut down due to imminent threat, staff will follow emergency services instructions, and children will not be released until deemed safe.
**6. Photographic and Video Images**
* We may take headshot photos for identification purposes, unless you opt out.
* We may take photos of children's activities for training, marketing, and promotional activities, unless you opt out.
* We may use images selected for marketing purposes, including social media platforms, unless you opt out.
**7. Exclusions**
* We may remove children whose behavior impacts safety, following our Behaviour Management Policy.
* Breaches of a Behaviour Management Plan may result in immediate exclusion.
* Arrange for immediate collection of excluded children.
* We may refuse or rescind enrollment if a parent, caregiver, or authorized collection person impacts safety.
**8. Complaints**
* We welcome feedback. Our complaint procedure is available at each site and on our website.
**9. Disclaimer**
* We police vet and train our staff and provide reasonable supervision.
* We are not liable for consequences resulting from acts or omissions where reasonable steps were taken.
* We are not liable for lost or damaged personal items.
* Caregivers are responsible for costs associated with damage caused by their child.
* By enrolling your child, you confirm the accuracy of provided details, agree to these Terms and Conditions, and adhere to our policies and procedures.
* We may suspend or terminate enrollment for breaches of these Terms and Conditions.
* We are not liable for any loss, damage or associated costs that you may suffer due to sKids exercising its rights under this clause.
