At Shine Kids safety is our number one priority and therefore we rely on our parents to provide us with as much information as possible before your child attends one of our programmes. If you have booked with us before we recommend re visiting your child's safety form, in case there has been any changes since it was filled out last.

★ Cancellations and changes cannot be made after 5pm on the Friday, 1 business week prior to the commencement of the Holiday Programme.

★ All modifications to new or existing reservations must be completed by the cut-off date. After this date, full fees will apply, and we will not accommodate any changes, including cancellations, day swaps, or refunds, once a booking has been confirmed. If an error occurs during the booking process, please notify us on the same day. Booking confirmations are sent immediately and should be reviewed carefully to ensure all details are correct. Shine Kids cannot be held responsible for verifying that confirmations are checked.
Any new bookings made after the cut off date will incur full fees and are not eligible for swaps, changes or refunds/credits.

Policy and Procedure: General Enrolment and Participation Terms

Effective Date: May 2025

1. General Enrolment Conditions

All bookings must be completed online through Enrolmy. Verbal bookings are not accepted.
Upon booking, a confirmation email with your selected dates will be sent.
If safety information is missing, a Safety Form Notification will be emailed. The booking may be waitlisted until this is completed. We cannot guarantee a spot without completed safety forms.
Bookings can be made up until 12pm on the day. For emergency or last-minute bookings, contact the site directly before 2pm.
All contact detail updates must be made via your Enrolmy profile to ensure accuracy in emergencies.
Booking confirmations and enrolment approvals are at the sole discretion of Shine Kids Nelson Ltd. A stand-down period or exclusion from the programme may also be applied at their discretion.
Shine Kids Nelson staff may confidentially contact school staff to discuss your child’s needs. Caregivers will be notified if this occurs.
Caregivers must keep all information (contact, medical, emergency, allergy) up to date at all times.

2. Term-Time Enrolments Regular Bookings

A regular booking is a repeating pattern for at least three weeks, made per term.
Public holidays are charged if they fall within a regular booking pattern.
For shared care/shiftwork, make a standard regular booking, then email [email=shinekidsnelson@gmail.com]shinekidsnelson@gmail.com[/email] to request adjustments.

Cancellations/Changes

To cancel or change a regular booking, at least 2 weeks’ written notice must be sent to [email=shinekidsnelson@gmail.com]shinekidsnelson@gmail.com[/email].
Verbal or in-person messages are not accepted.
The 2-week period begins from when the admin office receives the email.
If a child stops attending without notice, full fees for 2 weeks apply, plus a $10 follow-up fee.
Note: Individual days within a regular pattern cannot be cancelled. Absences (e.g. holidays, camps, illness, school closures) are still charged.

Casual Bookings

These are for random dates and are subject to availability.
Cancellations must be emailed at least 24 hours in advance to [email=shinekidsnelson@gmail.com]shinekidsnelson@gmail.com[/email].
Programme staff cannot manage bookings or changes—written notice only is accepted.

3. Absences & Attendance

Absences must be reported before the session begins via:
- Site phone, or
- Email: [email=shinekidsnelson@gmail.com]shinekidsnelson@gmail.com[/email] (Subject: ABSENT NOTICE).
  Confirmation of receipt is required.

If a child has not arrived by 3:20pm, follow-up calls begin, and a $10 fee applies.

No session swaps or reschedules are permitted. Extra days may be added if space is available.

Full fees apply for school closures due to unforeseen events (e.g. pandemics, natural disasters).

4. Special Days (Teacher Only Days, Early Finishes, Late Starts)

Shine Kids may offer care on special calendar days, depending on:
- Staffing,
- Venue availability,
- Minimum enrolment numbers.
Advance notice will be provided. Bookings are separate from standard care and made via Enrolmy.
Cancellations: Must be received in writing at least 48 hours in advance to avoid charges.
If the special day falls within a regular booking, fees still apply unless otherwise stated in writing.
If your child is expected to attend a regular session on a special day, this must be confirmed via email in advance.

5. Holiday Programme Enrolments

Full fees apply for all absences (e.g. sick, holidays, playdates).
Non-WINZ clients: Changes can be made in Enrolmy until 5pm Friday, one week before the programme begins.
WINZ clients: No changes after subsidy is submitted.
No cancellations accepted after the cut-off. No swaps allowed.
Extra days can be added if space is available.

6. Signing In & Out

Caregivers must use the Enrolmy app on the programme tablet.
If not signed in/out correctly, staff will do so and fees will reflect observed times.
Late pickups/early drop-offs incur $2 per minute.

7. Collection Procedures

Only persons listed on Enrolmy may collect your child.
If an unauthorised person arrives, listed guardians will be contacted.
All programmes close at 6:00pm. Late fees apply: $2 per minute after this time.

8. Property & Belongings

Any damage to property by a child will be charged to the caregiver.
Shine Kids is not responsible for lost or damaged personal items (e.g., toys, electronics, scooters).

9. Health & Safety

Minor injuries are treated on-site by trained staff.
Serious incidents follow Shine Kids’ health & safety policies.
Staff may:
- Apply sunscreen (unless otherwise advised).
- Administer prescribed medication (with consent).
- Call emergency services. Caregivers are responsible for all associated costs.

10. Offsite Excursions

Permission is granted for Shine Kids to transport children for outings or evacuations.
Trips may change due to weather or logistics. Chartered/company vehicles will be used.

11. Photography & Child Work

Photos and children’s work may be used for training or promotional use unless opted out during enrolment.

12. Fees & Payments

Fees are charged as advertised but may change with notice.
Full fees apply for absences, public holidays (if booked), or change of plans.
$10 admin fee applies if a child arrives without enrolment.
Late pickups/early drop-offs: $2 per minute.

Invoices & Payments

Term-time: Invoiced weekly in arrears.
Holidays: Invoiced weekly in advance.
Payment is due before the invoice period starts.
Statements are emailed fortnightly.
View invoices in your Enrolmy account.

10% interest per month applies to overdue invoices.
Bank fees for dishonoured payments are passed on.
After 30 days, a $20 or 10% admin fee applies.
Enrolment may be suspended until payment is made.
Debt collection fees will be added.
No refunds. Credits may be applied to future bookings.

13. WINZ Subsidies

Caregivers remain responsible for full payment if WINZ claims are incomplete.
Once a subsidy is submitted, bookings cannot be changed.

14. Privacy & Confidentiality

Personal information is handled under the Privacy Act 2020.
You may request to view or correct your information.
Data may be reviewed by the Ministry of Social Development.

15. Policies & Procedures

Full policies (e.g. complaints, health & safety, staff conduct) are available on request.
Enrolment indicates agreement with Shine Kids Policy and Procedures.

16. Enrolment of Children with Additional Needs

Shine Kids supports inclusion but assesses enrolment on a case-by-case basis.

Assessment & Acceptance Criteria

Enrolment may be declined if we cannot safely support the child’s needs.
Full disclosure of:
- Medication details,
- Allergies,
- Behavioural needs and triggers,
- One-on-one support needs (as at school).
If required, caregivers must supply their own approved support staff, who must:
- Be police vetted and approved,
- Be employed and supervised by the caregiver,
- Assist Shine Kids staff and manage behaviour.

Trial Periods

May be offered where appropriate. All requirements still apply.

Limitations on Support

Shine Kids is not equipped for toileting or hygiene care beyond normal expectations.
A $25 per incident fee applies if staff are required to manage toileting beyond this.

Consent & Communication

Written consent is required for:
- Sharing and managing sensitive information,
- Taking emergency action where needed.
Shine Kids reserves the right to withdraw enrolment if:
- Needs cannot be met, or
- Critical information is withheld.

Note: This policy aims to ensure all children—including those needing extra support—can participate safely and with dignity.

17. Amendments to Terms

Shine Kids may update these terms with 2 weeks’ notice, communicated via email.

Policy and Procedure for Declining Students Requiring Extra Support, Behavioral, or Medical Assistance

Purpose To establish clear, compassionate, and consistent guidelines for declining student enrolments or participation when the program is unable to adequately meet their additional needs, ensuring safety and well-being for all children. Policy Shine Kids is committed to providing an inclusive environment for all children. However, there are circumstances where we may need to decline enrolment or participation if the program cannot sufficiently support a child's specific needs, including extra academic help, behavioral challenges, or medical requirements. Enrolling with Shine Kids does not guarantee acceptance into the program and may be declined based on the information provided. Specific Considerations for Children with Special Needs Inclusion Children with special needs will be included in the program whenever possible, provided that the coordinator and relevant staff are confident that the child's needs can be adequately met and the appropriate staffing is available. This includes consideration of the child's specific needs and the resources Shine Kids can realistically provide. Information Requirements Comprehensive information about the child's needs must be provided, including but not limited to:

Medication: dosage, administration instructions, and emergency contact details for the prescribing physician.
Dietary needs: allergies, restrictions, and specific diet requirements.
Behavioral needs: known triggers, coping mechanisms, strategies, and any documented history.
One-on-one support at school: Shine Kids expects the same level of support to be maintained during participation in the program. If required, the caregiver must provide a suitable support staff member, who will be employed and supervised by the caregiver.

Staffing For children requiring one-on-one support:

The caregiver must provide the support person.
This person must be police vetted by Shine Kids.
The person must also be approved through Shine Kids' staffing recruitment process to ensure suitability.

Trial Periods If a trial period is agreed upon, the support staff remains the caregiver's responsibility for the duration. Employment and supervision remain with the caregiver. Informed Consent Due to the nature of the child's needs, Shine Kids requires written consent to:

Receive and manage sensitive information related to the child’s care.
Make appropriate decisions regarding the child’s safety and well-being in line with Shine Kids policies.

Decision-Making Process The program coordinator will review all submitted information and consult with relevant staff to determine whether the child's needs can be met within Shine Kids’ available resources. The decision to accept or decline a child’s enrolment or participation will be communicated in writing to the caregiver. Limitations on Support

Shine Kids is not trained or equipped to manage toileting beyond basic care appropriate to the child's age.
We are unable to provide the facilities, staffing, or privacy required for tasks such as changing diapers or showering.
In cases where a child soils or wets beyond age-appropriate expectations, a "Support for Hygiene Care" fee of [State Amount] will be charged to compensate staff for time and resources beyond standard care.

Consent Written consent is required from caregivers to allow Shine Kids to make necessary decisions related to the child's health and well-being, and to communicate with relevant professionals if needed. Important Considerations Age Appropriateness Care expectations are based on a child’s age and developmental stage. Clarity and Communication Shine Kids will provide clear communication regarding program limitations and any additional support requirements. Transparency All fees, including any applicable support-related charges, will be clearly outlined in the enrolment agreement.
