Important Information

*Parents must complete the Safety Form for their child and we ask that parents are as detailed and transparent about their child as possible

*A four week notice cancellation policy applies to all bookings which have been offered and accepted. No cancellations will be permitted for the months of September and June. All bookings made now will have the ability to be changed when changes open in early September, with changes applying from October.

*All Junior Infant bookings begin on the first day of the school term. Early collections are not allowed during the school’s settling-in period and all booked sessions during this settling-in period are charged in full.

*NCS Information:
• NCS funding applies to regular booking hours only during Term Time and all regular and casual Holiday Programme bookings. Please note that a minimum of 1 week’s notice is required to add NCS to a booking.
• NCS claims must be approved on the NCS portal to ensure all NCS subsidies are awarded – parents have the responsibility to approve NCS claims and any delays can result in a delay of the NCS subsidy being applied against your invoice.
• It is the parent's responsibility to ensure the NCS chick codes provided are in date - NCS cannot be provided for expired awards
• CHICK codes must be submitted via one of the following methods only: 
1. The Enrolmy Parent Portal; or 
2. https://forms.office.com/r/j6zrdBUX5X���
⚠️ CHICK codes submitted via email or text message cannot be processed. 

* Invoicing & Payments
• Sherpa Kids operates invoicing in arrears, meaning care is provided first and invoices are issued afterwards.
• Prepayments are required to secure bookings and to have credit on your account for the academic year or for new bookings made during the school year.
• Prepayments are not invoices and are not eligible for NCS subsidies. NCS funding only applies to invoices issued once care has commenced.
• Prepayments can be offset against fees later in the academic year or against any outstanding balances where bookings are cancelled.
• All bookings, account updates, schedule changes, and payments must be managed through your Enrolmy parent account.

*Summary of Charges Policy
Holiday periods taken by families during term-time continue to accrue regular fees. On days of early school closures, Sherpa Kids provides care from the time of closure until your regular collection time, with additional hours charged accordingly; full charges apply on these days even if a child is collected earlier than usual. The National Childcare Scheme (NCS) applies only to regular booking hours and Holiday Programme hours, not to early closures, additional hours, or ad‑hoc bookings. Fees also remain payable when services must close due to exceptional circumstances such as severe weather alerts, government public health directives, or issues with school facilities. No charges apply on routine National or Public Holidays, including the October Mid‑Term, Christmas, February Mid‑Term, and Easter Holidays, and any required adjustments to ensure a full week of non‑chargeable days are made automatically by Sherpa Kids. During long‑term certified illness, arrangements may be discussed individually with the Programme Coordinator, but in cases of short‑term illness or weather conditions where schools remain open, full fees continue to apply.
