Nxt Level Coaching – Terms & Conditions 1. Bookings & Payments

All sessions must be booked in advance via our online system.
Payment is required at the time of booking unless otherwise agreed.
We accept childcare vouchers and Tax-Free Childcare.
Sessions are non-transferable and non-refundable, except in cases outlined in our cancellation policy.
Please note: Children booked into Wraparound Care are not guaranteed a place in our After School Clubs. If you would like your child to attend a specific club, please book it directly to secure their space. As mentioned in section 13.

2. Cancellations & Refunds

Cancellations made with 48 hours’ notice may be eligible for a credit.
Cancellations with less than 48 hours’ notice are non-refundable unless we have a waiting list in place.
If a session is cancelled by Nxt Level Coaching (e.g. due to weather, illness, or emergency closure), a full credit or refund will be offered.

3. Arrival & Collection

Children must be dropped off and collected by an authorised adult.
Late collections may incur a charge of £5 per 15 minutes.
If a child remains uncollected beyond 30 minutes and no contact has been made, our Uncollected Child Policy will apply and may involve contacting social services.

4. Health & Medical

Children who are unwell must not attend. We follow exclusion periods for infectious diseases.
If a child becomes unwell during a session, parents will be contacted for collection.
All medical conditions, allergies, or medication needs must be disclosed on registration forms.
Emergency treatment may be authorised by staff if required, in line with the signed Medical Form.

5. Safety & Behaviour

Children must follow club rules and staff instructions.
We promote positive behaviour. Ongoing or unsafe behaviour may result in removal from sessions.
Physical intervention is only used where necessary for safety, in line with our Behaviour Policy.

6. Inclusion & Equalities

We are an inclusive setting, open to all children from Reception to Year 6.
Reasonable adjustments will be made to support children with additional needs, as per our Equalities Policy.

7. Safeguarding & Child Protection

All staff are DBS-checked and trained in safeguarding.
We follow strict safeguarding procedures, including reporting concerns to relevant authorities.

8. Photographs & Media

Photos may be used for displays, marketing, or social media with parental consent.
No identifying details will be shared without explicit permission.

9. Personal Belongings

Children are responsible for their own belongings. Nxt Level Coaching is not liable for lost or damaged items.

10. Use of Equipment

For some activities (e.g. Nerf Club), children will wear protective goggles.
Parents are encouraged to dress children appropriately (e.g. long sleeves for Nerf) to reduce the chance of skin contact from foam darts.

11. Emergency Procedures

In the event of a fire, lockdown, or health emergency, our Emergency Procedure will be followed.
Parents will be contacted as soon as possible if early collection or closure is necessary.

12. Data Protection

All personal data is stored securely and handled in line with GDPR.
Parents can request access to their child’s data at any time.

13. Policy Access

Full policy documents (Behaviour, Safeguarding, Complaints, Risk Assessment etc.) are available on-site or upon request.

14. Club & Wraparound Care Transfers

Children booked into Wraparound Care may be permitted to attend an After School Club on the same day, but this is subject to availability and staffing ratios.
Booking Wraparound Care does not guarantee a place in any specific club. To ensure your child has a space in their chosen club, please book it separately via our system.
