LIFESTYLE FITNESS TERMS AND CONDITIONS These Terms and Conditions govern all bookings and participation in Children’s Activities delivered by Lifestyle Fitness. By completing a booking and signing the registration documentation, the Parent/Guardian agrees to be bound by the terms set out below.

1. Definitions

“Lifestyle Fitness” refers to the provider of the Children’s Activities.
“Parent/Guardian” refers to the individual with legal parental responsibility for the participating child.
“Child” refers to the individual enrolled in the Children’s Activities.
“Children’s Activities” refers to any activity, camp, session, or programme delivered by Lifestyle Fitness.

2. Data Protection and Privacy Lifestyle Fitness processes personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Personal information provided during the booking process will be used for the purposes of:

Administering bookings and attendance
Ensuring the health, safety, and welfare of participants
Contacting Parent/Guardians in relation to activities
Fulfilling legal and regulatory obligations

Lifestyle Fitness will treat all personal data as confidential and will not share information with third parties except where required by law or where necessary for legitimate operational purposes. Lifestyle Fitness may contact Parent/Guardians regarding services, programmes, or promotional offers. If you do not wish to receive such communications, you may opt out in writing.

3. Bookings and Payment 3.1 All bookings must be made via the official online booking platform.

3.2 Full payment is required at the time of booking to secure a Child’s place.

3.3 A completed enrolment form must be submitted prior to participation in any Children’s Activities

3.4 It is the responsibility of the Parent/Guardian to ensure that all information provided is accurate and up to date. Lifestyle Fitness must be notified immediately of any changes.

3.5 Lifestyle Fitness reserves the right to cancel, amend, or reschedule activities where reasonably necessary. In such circumstances, a suitable alternative or refund will be offered at the discretion of Lifestyle Fitness.

4. Cancellations and Transfers 4.1 A minimum of five (5) days’ written notice prior to the scheduled activity is required to qualify for a full refund.

4.2 Cancellations made within five (5) days of the activity are non-refundable.

4.3 Transfers to alternative sessions require a minimum of five (5) days’ notice and are subject to availability.

4.4 Where a transferred session carries a higher fee, the difference must be paid prior to attendance.

4.5 No refunds or credits will be issued for transfers to sessions of lower value.

4.6 Transfers may only be made within the same holiday period.

4.7 Lifestyle Fitness shall not be liable for failure or delay in performing its obligations where such failure or delay results from events beyond its reasonable control, including but not limited to acts of God, extreme weather conditions, fire, flood, pandemic, government restrictions, industrial action, facility closure, or any other unforeseen circumstance (“Force Majeure Event”). In the event that a Children’s Activity cannot proceed due to a Force Majeure Event, any payments made will be credited to the Parent/Guardian’s Lifestyle Fitness account for future use. Refunds will not be issued in such circumstances.

5. Arrival, Collection and Supervision 5.1 Children must not be dropped off more than five (5) minutes prior to the scheduled start time.

5.2 A Parent/Guardian must sign the Child in and out of each session.

5.3 A valid emergency contact number must be provided for each day of attendance.

5.4 Lifestyle Fitness reserves the right to refuse collection of a Child where appropriate identification or authorisation is not provided.

6. Health, Medical Information and Illness 6.1 Parent/Guardians must disclose all relevant medical conditions, allergies, dietary requirements, or additional needs on the enrolment form.

6.2 It is the responsibility of the Parent/Guardian to keep medical information up to date.

6.3 Where prescribed medication is required during a session:

A Medical Consent Form must be completed by the Parent/Guardian;
A Medical Administration Form will be completed by the designated on Duty Manager.
The Parent/Guardian must supply the medication in its original packaging with clear instructions.

6.4 Lifestyle Fitness does not have facilities to care for unwell children. Children who are unwell must not attend.

6.5 If a Child becomes unwell during a session, the Parent/Guardian will be contacted and required to arrange immediate collection.

6.6 Parent/Guardians must inform Lifestyle Fitness of any contagious conditions, including but not limited to head lice or threadworms.

6.7 Lifestyle Fitness staff are not permitted to administer medication requiring specialist clinical training. Emergency medication (such as inhalers, EpiPens or prescribed auto-injectors) may be administered where appropriate consent and training are in place.

7. Food, Drink and Personal Property 7.1 Parent/Guardians must provide a nut-free packed lunch where required.

7.2 Children must bring a refillable drinks bottle.

7.3 All belongings must be clearly labelled.

7.4 For specific activities (including but not limited to bouncing sessions), appropriate attire must be worn, including socks and tied-back long hair.

7.5 Parent/Guardians and Children are responsible for all personal property brought to Children’s Activities.

7.6 Lifestyle Fitness accepts no liability for loss, theft, or damage to personal belongings, except where caused by proven negligence.

8. Equipment and Safety 8.1 Where activities require personal equipment (e.g., helmets, bicycles, scooters), it is the responsibility of the Parent/Guardian to ensure such equipment is safe, suitable, and in full working condition.

8.2 All helmets and safety equipment will be inspected upon arrival.

8.3 Lifestyle Fitness reserves the right to prohibit participation where equipment is deemed unsafe.

9. Photography, Video and Marketing Lifestyle Fitness may take photographs and/or video recordings during Children’s Activities for the purposes of:

Marketing and promotional materials
Website and social media content
Printed publications and advertising materials

By agreeing to these Terms and Conditions, the Parent/Guardian provides consent for their Child to appear in such photographs and/or recordings. If a Parent/Guardian does not consent to their Child being included in photography or video content, this must be clearly stated on the Booking Form at the time of registration. Lifestyle Fitness will make reasonable efforts to ensure the Child is excluded from promotional imagery where an opt-out has been recorded. No financial compensation will be provided for the use of images or recordings.

10. Liability 10.1 Lifestyle Fitness will take all reasonable steps to ensure the safety and wellbeing of participating Children.

10.2 Nothing in these Terms and Conditions excludes or limits liability for death or personal injury resulting from negligence.

10.3 Lifestyle Fitness shall not be liable for:

Loss or damage to personal property (unless caused by negligence);
Activities undertaken against staff instruction;
Circumstances beyond its reasonable control (including but not limited to severe weather, facility closures, or government restrictions)

In the event of a medical emergency, Parent/Guardians authorise Lifestyle Fitness to seek emergency medical treatment for the Child where necessary. 11. Behaviour Lifestyle Fitness reserves the right to refuse participation or require collection of a Child whose behaviour is deemed unsafe, disruptive, or inappropriate. In such cases, refunds will be at the discretion of Lifestyle Fitness.

12. Safeguardng Lifestyle Fitness is committed to safeguarding and promoting the welfare of children. All staff are appropriately trained and vetted in line with safeguarding legislation. Any safeguarding concerns will be managed in accordance with Lifestyle Fitness Safeguarding and Child Protection Policy and may be referred to relevant external agencies where necessary. 13. Acceptance of Terms By completing the booking process, submitting the enrolment form, and signing the daily registration sheet, the Parent/Guardian confirms that they:

Have read and understood these Terms and Conditions;
Agree to be legally bound by them;
Provide consent for their Child to participate in the Children’s Activities.
Lifestyle Fitness reserves the right to review, amend, or update these Terms and Conditions at any time where reasonably necessary, including to reflect changes in legislation, operational requirements, or business practices. The most current version will be made available via the official booking platform and/or website. Continued booking and participation in Children’s Activities shall constitute acceptance of the revised Terms and Conditions.
