Liberty Jamboree Terms and Conditions:
1. Scope of Agreement
1.1 These Terms and Conditions ("Terms") govern the participation of individuals ("Members") in events, programmes, and activities organised by Liberty Jamboree.
1.2 By participating in any programmes, events or activities organised by Liberty Jamboree, members agree to adhere to these Terms and any additional guidelines or instructions provided by Liberty Jamboree. There may be additional terms and conditions for specific programmes, activities and events that will need to be reviewed and signed.
2. Booking and Communication
2.1 Attendance must be in accordance with bookings made, with drop-off and pick-up at the specified time and location.
2.2 Sessions and transport must be booked via Liberty Jamboree’s booking system, Enrolmy, by the specified deadlines.
2.3 Members/parents/carers must notify Liberty Jamboree promptly if a session or transport is no longer required due to illness or a change in circumstances.
2.4 Any changes to a members personal details, including a change of address, emergency contact information, and medical or dietary requirements, must be promptly communicated to Liberty Jamboree.
3. Code of Conduct
3.1 Members are expected to conduct themselves in a respectful, responsible, and safe manner at all events and activities.
3.2 A parent/carer must attend meetings if required and we would encourage two-way communication so parents/carers should inform Liberty if there are any changes to their child’s behaviour/assessments/investigations.
3.3 Any behaviour that disrupts a session or poses a risk to others may result in removal from the programme at the discretion of Liberty Jamboree.
4. Health and Safety
4.1 All medication must be provided before each session, clearly labelled and in its original prescription packaging and signed over to the lead member of staff on the session.
4.2 Members must bring their own personal care items if required (e.g., gloves, wipes, bags).
4.3 Emergency contacts must be available during programme hours.
4.4 Members must not attend Liberty Jamboree if they are unwell. They must notify Liberty Jamboree of their absence and indicate if they may be contagious.
4.5 If a member becomes unwell while in Liberty Jamboree’s care, emergency contacts will be notified and a parent/carer will be expected to collect their child from wherever they are.
4.6 In the event of a medical emergency, members/parents/carers authorise Liberty
Jamboree to arrange necessary medical treatment and acknowledge their responsibility for associated costs.
4.7Members/parents/carers also acknowledge that transport for off-site activities may involve third-party providers for which Liberty Jamboree is not responsible.
4.8 Members/Parents/Carers authorise Liberty Jamboree staff to administer first aid, contact emergency services, and notify emergency contacts as required.
4.9 A risk assessment will be conducted for each activity and will be available upon request from Liberty Jamboree’s office.
5. Payment Terms
5.1 Fees are non-refundable except under exceptional circumstances, as determined by Liberty Jamboree’s management (e.g., prolonged illness or bereavement).
5.2 Additional trips will be invoiced separately.
5.3 Transport, Youth club sessions, sports sessions, trips, events and holidays are to be booked and paid for prior to the session.
6. Transport Guidelines
6.1 Transport must be booked via Liberty Jamboree’s booking system, Enrolmy, by 9:00 a.m. on the Monday the week the transport is required.
6.2 Late bookings are subject to availability.
6.3 Parents/carers are responsible for ensuring transport needs are planned ahead of time.
7. Safeguarding and Liability
7.1 Liberty Jamboree complies with safeguarding regulations, including the Working Together to Safeguard Children (2018) guidance for children under 18, and the Care Act 2014 for adults with care and support needs.
7.2 Our safeguarding policies ensure that all individuals in our care are protected from harm and that their wellbeing is prioritised. Concerns about a child or adults’ safety may be reported to the local Multi-Agency Safeguarding Hub, which may occur without prior parental notification in exceptional cases and in accordance with legal obligations.
7.3 Members/parents/carers acknowledge the inherent risks associated with off-site community-based activities, including transportation, physical activity, and environmental factors. To the extent permitted by law, members/parents/carers assume responsibility for any personal injury, property damage, or loss that may occur, acknowledging that Liberty Jamboree cannot be responsible for public behaviour and external factors, accidents, incidents and/or natural disasters.
7.4 To the extent permitted by law, members/parents/carers release Liberty Jamboree, its employees, volunteers, and agents from liability for any accidents, injuries, or damages that may occur.
8. Privacy Policy
8.1 Liberty Jamboree values members’ privacy and will not share personal information with third parties without consent.
8.2 By participating in events/sessions/trip and holiday, Members consent to the use of photography or videography for promotional purposes for Liberty Jamboree unless they explicitly opt out in writing.
9. Complaints
9.1 Liberty Jamboree complies with a formal complaints’ procedure. A copy is available upon request from the Liberty Jamboree office.
10. Termination of Place
10.1 Liberty Jamboree reserves the right to terminate a member’s place with four weeks’ written notice or immediately in cases of non-payment, unsafe or violent behaviour, or failure to comply with these Terms.
11. Jamboree on Board additional
11.1 Jamboree on Board Members/parents/carers must notify Liberty Jamboree of any absences, including holidays, in advance, with at least one week's notice where possible.
11.2 If a member is absent without notice for more than four weeks, their place may be forfeited. Four weeks’ written notice is required to withdraw a member from the programme or to reduce sessions.
11.3 Fees: There are three routes for payment - Commissioned by the LA, Direct payment and self-funding. Invoices will be sent every two weeks. Payments must be made within two weeks of receiving the invoice. Absences: Fees are payable for the days the member is signed up for, regardless of attendance.
12. Amendments to Terms and Conditions
12.1 Liberty Jamboree reserves the right to amend these Terms with reasonable notice unless changes are required by law.
