Terms & Conditions
By signing this agreement, the parent/carer acknowledges and agrees to the following terms and conditions for enrolment, attendance, behaviour, health & safety, and administration at Fraggle Farm.
[hr]
1. Definitions & Foundations
1.1 Triangle of Trust & “How to Be a Fraggle”
- All students and parents/carers and children have already signed the Triangle of Trust and “How to Be a Fraggle” rules, which set out expected standards of respect, responsibility, communication, and safety.
- These Terms & Conditions are supplementary and enforceable alongside that Agreement.
- This document works in tandem with our Trust & Conduct / Behaviour Policy, which outlines how we manage conduct, de-escalation, and consequences.
- All staff, participants, and parents are expected to be familiar with that policy.
[hr]
2. Behaviour & Conduct
2.1 Expected Behaviour
- Students shall act respectfully toward staff, other participants, animals, property, and the environment.
- Use of abusive language, aggression, bullying, harassment, or endangering others (or themselves) will not be tolerated.
If a student behaves in a way that violates the Triangle of Trust (e.g. aggression, dishonesty, property damage, bullying, animal mistreatment, unsafe conduct):
- The incident will be documented immediately by staff.
- Management will contact the parent/carer to discuss the concern.
- This will serve as the first and only formal warning, providing opportunity for reflection and support.
Fraggle Farm operates under a One Strike Rule:
- If a student breaches the Triangle of Trust after the formal warning, or engages in behaviour that severely risks safety, emotional wellbeing, or trust, their enrolment will be immediately terminated.
- The decision is made to protect the wider community’s safety and wellbeing.
- Parents/carers may request a review meeting with senior management (e.g. General Manager, COO) to discuss the decision.
- The outcome of that review is final.
[hr]
3. Communication & Records
3.1 Documentation of Incidents
- All behavioural incidents, warnings, and communications with parents/carers will be documented and stored confidentially.
- Records may include incident reports, staff notes, and correspondence.
- Where appropriate, Fraggle Farm staff may provide referrals, guidance, or support options to assist the young person after exit.
- Parent/carer and student information will be handled under our Privacy & Confidentiality Policy.
- Personal data will be used only for program delivery and safety purposes, and only shared with relevant staff or external bodies when legally required or with consent.
[hr]
4. Enrolment & Fees
4.1 Booking & Consent
- Parents/carers must complete enrolment forms, consent forms (medical, excursion, media, etc.), and sign these Terms & Conditions prior to the child’s first day.
- Fraggle Farm reserves the right to refuse enrolment if any required documents are incomplete.
- Payment terms, due dates, and late fees will be outlined through Enrolmy.
- Refunds are available for any cancellation with 48 hour’s notice.
- In the case of termination under the behaviour policy, refunds are generally not provided.
[hr]
5. Health, Safety & Duty of Care
5.1 Health Disclosure & Medical Conditions
- Parents/carers must disclose any medical, behavioural, or allergy information at enrolment and update staff promptly if circumstances change.
- Fraggle Farm staff may administer prescribed medication only when provided in original containers, accompanied by clear instructions and a completed medication form.
- Over-the-counter medications may be given only if agreed in writing.
- There will be a member of staff with a current first aid certification on site at all times.
- Any injury, illness, safety breach, or animal-related incident will be recorded, may require parent/carer contact, and may lead to emergency procedures.
- Fraggle Farm reserves the right to call emergency services if needed.
- Parents/carers must ensure emergency contact details are kept up to date.
[hr]
6. Liability, Insurance & Waivers
6.1 Assumption of Risk
- Parents/carers acknowledge that farm, animal, gardening, and nature-based activities inherently involve risks (e.g. falls, bites, terrain).
- By enrolling, parents/carers agree to assume these risks (within reason), while Fraggle Farm commits to duty of care and risk mitigation.
- Fraggle Farm holds public liability and professional indemnity insurance.
- While we attempt to prevent damage or loss, Fraggle Farm is not liable for personal property loss, theft, or damage brought to site.
- Parents/carers consent (or not) to the use of photographs, videos, or stories of participants for promotional and reporting purposes.
- Opt-out requests must be notified during enrolment.
[hr]
7. Parent / Carer Responsibilities
7.1 Punctuality & Attendance
- Parents/carers must deliver and collect their child punctually.
- If late, notify staff as early as possible.
- Parents must be contactable via phone at all times, and available to collect their child in the case of an accident or behavioural incident.
- Students should wear comfortable, weather-appropriate clothing.
- Parents should provide lunch, snack(s), water bottle, hat, sunscreen, and any necessary aids or medications.
- Parents/carers agree to engage respectfully, attend scheduled meetings, and act in partnership with Fraggle Farm in supporting their child’s growth.
- If any concerns arise, parents should follow the Parental Concerns Policy to raise them.
