Fun, inclusive and supportive tennis for children with SEND

💚 JUST £5 PER SESSION

Looking for a fun, supportive tennis session for your child with SEND?

We’re excited to be bringing SEND Tennis to Southmoor!

Our sessions provide children in Years 3–6 with the opportunity to enjoy tennis, get active, build confidence and develop new skills in a friendly and supportive environment.

Whether your child is completely new to tennis or already enjoys playing, everyone is welcome. Our aim is to make tennis fun, inclusive and accessible, while helping children feel comfortable and confident on court.

* No previous tennis experience required

* No tennis club membership required

Our sessions are run by qualified, experienced coaches who are enhanced DBS checked, giving you peace of mind that your child is in a safe and supportive environment.

💚 Making SEND Tennis More Accessible

We have received funding to help us establish these sessions and keep the cost as low as possible for families.

The cost is just £5 per session, making regular SEND tennis accessible to more children in the local community.

🎾 Everything is provided

We provide all the tennis equipment needed for the sessions.

Children can wear whatever they feel comfortable and happy in, with suitable footwear for indoor sport.

All you need to bring is a drink.

📍 Session Information

Coaches will begin setting up from 3:30pm, so children are welcome to arrive early, get settled and familiarise themselves with the environment before the session begins.

Simply choose the sessions you would like your child to attend below and come and join us for the fun!

We want every child to feel welcome, included and able to enjoy being on court.

If your child hasn't played tennis before, that's absolutely fine — all abilities and experience levels are welcome.

Important Information

1) If booking more than one child and the bookings will be different then please complete all sections for the first child then create a separate booking for each future child. All payments can be made together at the end of the bookings.

2) The second page you will be asked to Log in or Register - Registering with us streamlines the process for you in the future and allows us to safely store your contact details and pupils information.

3) Once you have submitted the booking session we will RESERVE your place. YOU MUST COMPLETE THE SAFETY FORM (Pupils information) on the following pages to complete your booking which includes payment information. ONLY AFTER we have received the Safety Form is your booking confirmed.

4) After completing the booking details and Safety Form you will receive 2 EMAILS. These are sent automatically so please check your junk/spam folders as they can end up in there.

5) PLEASE NOTE: If you see a number next to the tick box on a specific date, this means there are limited number of spaces left available for that session. If there is no number by the tick box this means there are still plenty of spaces available

6) IMPORTANT - Once everything is submitted and you have completed your booking please double check that the right names and details of each child is booked in to the correct groups. On occasion parents have made errors with their bookings and the same details will be allocated to all bookings. If this does happen please follow these instructions to correct:
1) Log in
2) Select the session that has the incorrect details
3) select edit Safety form for that session
4) The safety form will show you ALL people in your family so please choose the ‘FIRST’ player as this will be the details for the session you have just selected
5) Edit the name, DOB and gender here and then check the medical information in the next section.
6) save and continue
7) Check the second players details to confirm they are correct as well
8) Once safety form is completed check your booking again to see if everything has updated correctly.

Terms and Conditions

MISSED/CANCELLED Lessons
- If you miss a lesson please contact us as we are happy to offer you the chance to attend one of our other groups as a 'make up' session
- If a lesson is missed due to bad weather, please speak with the coach about attending an alternative session as a make up session. We are unable to offer a refund for bad weather cancellations.
- In the event of inclement weather during a session indoor activities will be provided for the pupils and parents will be notified of the session stopping
- If the weather is bad before the start of the lesson please contact the coach to confirm if the session is still running
- If you are unable to attend a session please notify the coach before the start of the lesson
SAFEGUARDING/CHILD PROTECTION
- Please make sure all children are brought to the Tennis Court gates and wait with them until the start of the tennis lesson
- At the end of a session please make sure all children are collected from the Tennis Court gates and not allowed to walk to/through the car park
- Please inform the coach if someone else will be collecting your child after the session
- At the Academy our coaches do expect a standard of behavior to be adhered to by our pupils. We follow a disciplinary code for dealing with unruly children and will inform the parents of any behaviour and actions taken if neccessary
Coaches
- All our Coaches are:
- LTA Qualified
- Enhanced DBS Checked
- First Aid Trained
- Vetted before working with us
- Our Coaches will always be at the venue to run the sessions unless it is not safe for them to travel (such as in the event of heavy snow) they will contact you beforehand if they are unable to attend a session
- Complaints Procedure
- In the event that you have a complaint or issue we ask that you speak with us directly and quickly so we are able to help out and deal with the situation as soon as it arises

CODES OF CONDUCT

All members of staff and volunteers agree to:
- Prioritise the well-being of all children and adults at risk at all times
- Treat all children and adults at risk fairly and with respect
- Be a positive role model. Act with integrity, even when no one is looking
- Help to create a safe and inclusive environment both on and off court
- Not allow any rough or dangerous behaviour, bullying or the use of bad or inappropriate language
- Report all allegations of abuse or poor practice to the club Welfare Officer
- Not use any sanctions that humiliate or harm a child or adult at risk
- Value and celebrate diversity and make all reasonable efforts to meet individual needs
- Keep clear boundaries between professional and personal life, including on social media
- Have the relevant consent from parents/carers, children and adults before taking or using photos and videos
- Refrain from making physical contact with children or adults unless it is necessary as part of an emergency or congratulatory (e.g. handshake / high five)
- Refrain from smoking and consuming alcohol during club activities or coaching sessions
- Ensure roles and responsibilities are clearly outlined and everyone has the required information and training
- Avoid being alone with a child or adult at risk unless there are exceptional circumstances
- Refrain from transporting children or adults at risk, unless this is required as part of a club activity (e.g. away match) and there is another adult in the vehicle
- Not abuse, neglect, harm or discriminate against anyone; or act in a way that may be interpreted as such
- Not have a relationship with anyone under 18 for whom they are coaching or responsible for
- Not to have a relationship with anyone over 18 whilst continuing to coach or be responsible for them
All children agree to:
- Be friendly, supportive and welcoming to other children and adults
- Play fairly and honestly
- Respect club staff, volunteers and Officials and accept their decisions
- Behave, respect and listen to your coach
- Take care of your equipment and club property
- Respect the rights, dignity and worth of all participants regardless of age, gender, ability, race, culture, religion or sexual identity
- Not use bad, inappropriate or racist language, including on social media
- Not bully, intimidate or harass anyone, including on social media
- Not smoke, drink alcohol or drugs of any kind on club premises or whilst representing the club at competitions or events
- Talk to the club Welfare Officer about any concerns or worries they have about themselves or others
All adults agree to:
- Positively reinforce your child and show an interest in their tennis
- Use appropriate language at all times
- Be realistic and supportive
- Never ridicule or admonish a child for making a mistake or losing a match
- Treat all children, adults, volunteers, coaches, officials and members of staff with respect
- Behave responsibly at the venue; do not embarrass your child
- Accept the official’s decisions and do not go on court or interfere with matches
- Encourage your child to play by the rules, and teach them that they can only do their best
- Deliver and collect your child punctually from the venue
- Ensure your child has appropriate clothing for the weather conditions
- Ensure that your child understands their code of conduct
- Adhere to your venue’s safeguarding policy, diversity and inclusion policy, rules and regulations
- Provide emergency contact details and any relevant information about your child including medical history
