EPC Terms & Conditions for Activity Bookings;
1. SEN & Inclusion
To provide the best experience, it’s essential we’re informed of any additional needs during booking. Please include all relevant details in the registration form. Furthermore feel free to contact our office if you're hesitant in booking your child on because of the needs, we're happy to talk through the suitability with you. Unfortunately EPC cannot offer internal 1:1 care however, we'll discuss ways that we can make provision accessible (e.g supporting with funding applications).
2. Minimum Age & Personal Care
Children must be in school year Reception to attend EPC activities. We may request proof of age. Children should be fully toilet-trained. Our team cannot assist with toileting or personal care. Parents must inform EPC in advance if their child may need support, and a plan will need to be agreed. EPC is inclusive and welcomes children with medical, behavioural, or physical needs. Please share this information during registration and contact our office to discuss support options.
3. Payment
All bookings must be paid upfront unless a Direct Debit or alternative payment method has been agreed.
It is your responsibility to initiate payment from banks, childcare vouchers, or funding providers.
Completing a booking confirms agreement to these terms.
5. Bookings
Without a booking, children may be refused entry or charged additionally to accommodate. EPC may cancel underbooked courses with 24hrs notice.
6. Lost Property
Avoid sending valuables. EPC accepts no responsibility for lost or damaged items.
Lost property is kept for 4 weeks then donated. Collection/postage can be arranged.
7. Photography & Video
Photos/videos may be taken for promotional use. You can opt out during booking.
If consent is given, images may be shared on Class Dojo with other parents from the same venue.
8. Medical & Emergency Information
Provide two emergency contacts and full medical, allergy, dietary, and additional needs info at booking.
Missing or incomplete information may result in exclusion from activities without refund.
9. Arrival & Collection
Please do not arrive before your booked time.
10. Safeguarding
EPC staff follow our safeguarding policy if they suspect abuse or receive disclosures. Details are available on request.
12. Liability
EPC is not liable for injury or death unless caused by proven negligence. Parents will be charged for damage caused by their child.
13. Insurance
All children are covered under EPC’s Public Liability Insurance.
14. Exclusion
We reserve the right to refuse entry or exclude a child if their presence negatively impacts others. No refund or credit will be given.
15. Programme Changes
We may adjust activities, times, venues or dates due to weather, technical faults or operational issues. We’ll inform you of changes and offer credit/refunds if appropriate.
16. Policies & Procedures
All policies are available at venues or by request.
17. Venue Closures
If a venue is forced to close due to weather, strikes, illness, or other circumstances beyond our control, we’ll communicate next steps and offer credit or refunds where appropriate.

19. Data Protection
EPC securely collects and stores data for booking and safeguarding purposes. We may contact you with relevant info. Your data will not be sold or shared externally.
20. Behaviour
EPC reserves the right to exclude children if their behaviour compromises safety or the experience of others. No refunds will be issued in these cases.
