By making a booking with Bright Spark Sports, you confirm that you have read, understood, and agree to these Terms & Conditions.
1. Bookings & Registration
1.1. All bookings must be made in advance via our booking system or directly with Bright Spark Sports.
1.2. A completed Child Information Form must be submitted before a child attends their first session. This must include accurate emergency contact details, medical information, allergies, and authorised collectors.
1.3. Bright Spark Sports reserves the right to refuse or cancel bookings if required information is incomplete, inaccurate, or not kept up to date.
2. Fees & Payment
2.1. Session fees are confirmed at the time of booking.
2.2. Payment must be made in advance unless otherwise agreed in writing.
2.3. We accept card payments, Childcare Vouchers (legacy schemes), and Tax-Free Childcare.
2.4. Missed sessions due to illness, holidays, early collection, or non-attendance are non-refundable.
2.5. Bright Spark Sports reserves the right to suspend or cancel bookings where accounts fall into arrears.
3. Changes to Bookings
3.1. Changes to bookings may be requested up to 14 days prior to the initial start date stated on your booking.
3.2. Changes requested within 14 days of the start date may incur an administration fee of up to £10.
3.3. All changes are subject to availability and acceptance by Bright Spark Sports.
3.4. Changes must be requested via email or phone and are only confirmed once acknowledged in writing.
3.5. If you are unable to attend a specific session within a block booking, this must be communicated at the time of booking. Where possible, the cost of that session may be deducted from your invoice.
4. Cancellations & Refunds
4.1. Cancellations made 28 days or more before the initial start date:
- A full refund minus a £10 administration fee, or
- Full credit held for future Bright Spark Sports bookings
4.2. Cancellations made less than 28 days before the start date are non-refundable. At our discretion, a credit may be offered.
4.3. Payments made via Childcare Vouchers or Tax-Free Childcare are non-refundable, but may be credited where appropriate.
4.4. Refunds will be processed within 10 working days where applicable.
5. Cancellation by Bright Spark Sports
5.1. Bright Spark Sports reserves the right to cancel sessions due to low numbers, adverse weather, venue closure, staffing issues, or other unforeseen circumstances.
5.2. Where possible, an alternative session, date, or credit will be offered. If this is not suitable, a full refund will be provided.
6. Arrival, Collection & Late Fees
6.1. Children must arrive and be collected strictly at their booked session times.
6.2. Children must not arrive before their booked start time unless additional care has been agreed in advance and confirmed in writing.
6.3. Late collection will incur a charge of £5 for every 10 minutes late, or part thereof.
6.4. Late collection fees are payable immediately and will be added to the parent/guardian’s account.
6.5. Parents/Guardians must inform Bright Spark Sports as soon as possible if they anticipate being late for collection.
6.6. In the event that a child has not been collected within a reasonable period after the session end time, and we are unable to make contact with the parent/guardian or authorised emergency contacts, Bright Spark Sports will follow its safeguarding procedures.
6.7. This may include escalation to the Designated Safeguarding Lead (DSL) and, where appropriate, contacting Children’s Social Care or other relevant statutory services, in line with our Safeguarding, Arrivals & Late Collection policies.
6.8. Persistent late collection may result in additional charges, suspension, or cancellation of future bookings.
7. Food & Dietary Requirements
7.1. Where advertised, a healthy snack and/or light meal will be provided.
7.2. Parents/Guardians must declare all dietary requirements, allergies, and intolerances in advance.
7.3. While we operate a no-nuts policy, we cannot guarantee an allergen-free environment.
8. Participation, Enjoyment & Experience
8.1. Participation in activities is voluntary, and suitable alternatives or quiet activities may be offered.
8.2. Children’s enjoyment of activities is subjective, and Bright Spark Sports cannot guarantee that every child will enjoy every session.
8.3. No refunds or credits will be issued due to a child’s personal enjoyment, preferences, emotional response, early collection, partial attendance, or choice not to participate, provided the session has been delivered safely and in line with our advertised programme and policies.
9. Behaviour & Inclusion
9.1. Bright Spark Sports aims to provide a positive, inclusive, and safe environment for all children.
9.2. Persistent unsafe or disruptive behaviour may result in a behaviour support plan, temporary suspension, or permanent exclusion in serious cases.
9.3. Parents/Guardians will be informed and involved at all stages.
10. Medical Needs & Medication
10.1. All medical conditions must be disclosed and kept up to date.
10.2. Medication will only be administered with written parental consent and in accordance with our Medical Policy.
11. Safeguarding
11.1. Bright Spark Sports has a statutory duty to safeguard and promote the welfare of children.
11.2. Safeguarding concerns will be managed in line with our Safeguarding Policy and may be shared with relevant external agencies where required.
12. Personal Property
12.1. Bright Spark Sports accepts no responsibility for loss or damage to personal belongings.
12.2. Children should not bring valuable items to sessions.
13. Photography & Media
13.1. Photographs or videos may be taken for promotional or record-keeping purposes.
13.2. Consent is obtained separately and may be withdrawn at any time in writing.
14. Complaints
14.1. Concerns should initially be raised informally with staff or management.
14.2. Formal complaints must be submitted in writing to

14.3. Complaints will be acknowledged within 3 working days and responded to within 15 working days.
15. Liability & Insurance
15.1. Bright Spark Sports holds appropriate Public Liability Insurance.
15.2. Nothing in these Terms excludes liability for death or personal injury caused by negligence.
16. Data Protection
16.1. We comply with UK GDPR and the Data Protection Act 2018.

17. Amendments
17.1. Bright Spark Sports reserves the right to amend these Terms & Conditions at any time.
17.2. Continued use of our services constitutes acceptance of updated Terms.
