The Bigfoot Experience - The values behind what we do
All programmes we design and implement ensure that the individual is at the centre of everything we do. Our Adventurous Trainings & Journeys aim to empower youth to grow their edge, belong together & lead their journey.
Please read and review these terms and conditions carefully before signing up to one of the events listed on this website.
By registering and attending one of the Duke of Edinburgh Award events aligned with The Duke of Edinburgh's International Award Aotearoa New Zealand, delivered by Bigfoot Adventures, you have agreed to comply with the terms and conditions outlined below.
Our Events
Communications
- All information pertaining to your event will be sent out two weeks ahead of the start date; this includes drop off/pick up timings & location, gear lists & food/menu planner.
- Any changes to the promoted event that impacts individuals will be communicated in a timely manner, e.g. - weather.
Phone Policy
In the interests of our groups getting the best out of their experience and being fully present to connect with Te Taiao (the natural environment), it will be encouraged that students minimize usage of phones during the journey. Our instructors will have devices out on the Adventurous Journeys for safety purposes and where applicable to enhance learning. We therefore strongly advise that students leave their cellphones at home and if students/parents choose to bring their cellphones it will be at their own risk.
Event Changes
Transferring participant to another journey
- Participants can transfer trips at any time, however late transfers within 48hrs of the initial trip commencing will incur an admin fee of $10, due to amending paperwork and safety form information for our instructors/schools, and removing any already packed gear hire etc.
Cancellation or Postponement by Bigfoot Adventures
- Bigfoot Adventures reserves the right to postpone or cancel events due to weather, low registration numbers or other concerns beyond their control. In this instance, all efforts will be made to shift the booking to an alternative date.
- Refunds will only be available if the participant can demonstrate a complete inability to attend any dates in the following six-month period.
- Bigfoot Adventures will aim to give the participant as much notice as possible if an event is cancelled/postponed and make every effort to contact participants to communicate this information.
- Any payments that we have received against this cancellation will be refunded in full.
Withdrawals/Cancellations by participant
- Withdrawals within the 2-week period and up to 4 days before the event start date, will incur a 30% cancellation fee - up to a maximum of $50.00.
- Withdrawals within 4 working days and up to 48 hours before the event start date will incur a 50% cancellation fee - up to a maximum of $65.00.
- Withdrawals within 48 hours before the event start date will incur an $80.00 cancellation fee.
- All cancellations and Withdrawals Administered by BFA will incur a $10.00 Administration Fee.
Payments & Invoicing
- We request payment to be made at the time of booking and have allowed 1 day from time of booking for this to happen. Bookings are not secured until payment is made in full.
- Overdue invoices may incur a 1.5% late penalty fee for every month the invoice remains unpaid.
- Payment by Credit / Debit Card will incur an additional transaction Fee of 1.85% of the total amount.
Gear Hire
Cancellations or Additions
- If gear is added or cancelled within 3 days of the trip going out, there will be a $10 administration fee added to your request due to the logistics to change what is already packed for the journey and amend paperwork at our end.
- If you hire gear from us, and then on the first day of the tramp you don't hire it from us due to not needing it anymore, there is no refund given due to not notifying us before the trip took place.
Damaged/Lost Goods
- If we hire out goods that are returned in a manner other than what they have been hired at or lost out on the journey while in your child's possession, it is at our discretion to charge a repair or replacement fee relevant to the damage/loss caused and the product hired.
Safety Management
Conduct
- Bigfoot Adventures hold public liability insurance and operate as a registered and audited outdoor activities provider. Risks are disclosed to participants both during booking an event and whilst attending the event. All events are run under the policies that exist within Bigfoot Adventures Safety Management System. Whilst not all risks can be eliminated, Bigfoot Adventures will communicate and manage these risks to the best of their ability during Duke of Edinburgh Adventurous Training & Journeys.
- Participants must adhere to instructions made by the instructors delivering the Adventurous Trainings or Journeys to minimise associated risks. Anyone repeatedly not adhering to instructions will be asked to leave the event for their own safety and that of the group and staff members, when practically possible, and may be barred from attending future events. This may be at a cost to the parent/caregiver where transport or added logistics are involved.
- Participants purposefully mis-using Bigfoot Adventures equipment and causing damage may be asked to leave the event when practical and may be liable to pay for damage incurred to any equipment or vehicle.
- Drugs, alcohol or abusive behaviour to staff, other participants or the general public are not tolerated on any Bigfoot Adventures events. Any participant displaying these behaviours, the initial step taken will be to contact their parent/caregiver to arrange their collection. If the participant is not collected as soon as practically possible further action may be taken, such as contacting the local authorities.
Vulnerable Children's Act
- Bigfoot Adventures conducts background checks (New Zealand Police Vetting) of all staff, volunteers and contractors, and puts each staff member through the Sport New Zealand training modules on Child Safeguarding and Child Protection.
Privacy
- The content of these programmes remains the intellectual property of Bigfoot Adventures.
- All personal information registered on the EnrolMy website as part of our booking process for Duke of Edinburgh Award Events is confidential and shall not be shared with anyone but the registered account holder via email/phone/in-person.
- Through adhering to the Privacy Act 2020, our Duke of Ed. Coordinator & other involved Bigfoot Adventures Staff are unable to share details of other participants on Duke of Edinburgh Award Events that your child is attending.
