Belmont Kids – Terms and Conditions

You confirm that all information provided is true and correct to the best of your knowledge and consent to be legally bound by these Terms and Conditions.
1. Centre Affiliation and Purpose
Belmont Kids operates as a ministry of Belmont Baptist Church, providing a safe, welcoming, and Christ-honouring environment where children can grow, learn, and have fun in safety. Christian principles are woven through our daily routines. Bible-based life lessons and the Christian meaning of Christmas, Easter, and Creation will be taught as part of our programme throughout the year.
2. Centre Rules and Policies
I understand that the terms and conditions hereby laid out are not exhaustive and that others are contained in Belmont Kids policy documents, rules, and notices. I agree to follow the rules and policies of Belmont Kids as set down from time to time by management.
3. Enrolment and Bookings
Enrolment is confirmed upon full completion of the safety form.
Bookings can be made through Enrolmy or by contacting the Centre directly.
Bookings are confirmed once received and subject to space availability.
Management reserves the right to revoke enrolment if policies or payment terms are not upheld.
4. Sign-In and Sign-Out
A parents or authorised caregiver over the age of 14 must sign children in and out each day.
Children will only be released to authorised persons listed on the enrolment form unless prior written permission is provided.
5. Health and Illness
For the safety of all children, we ask that only well children attend Belmont Kids. Children must be free from vomiting, diarrhoea, fever, and other symptoms of contagious illness for at least 24 hours before attending. If a child becomes unwell during the programme, parents will be contacted for prompt collection. Full details are outlined in our Contagious Illness Policy, displayed at the entrance to the Centre.
6. Medical Information and Medication
All relevant medical information must be provided to the Centre.
Medication can only be administered with written authorisation and will be recorded in accordance with our Medication Policy.
7. Behaviour and Wellbeing
Belmont Kids is committed to the physical, emotional, mental, and spiritual safety of every child. Positive guidance strategies are used to support appropriate behaviour. Where ongoing unsafe or disruptive behaviour impacts others, management will first notify parents/caregivers of the concern. If the behaviour continues, we will commence a collaborative behaviour support process, involving parents/caregivers and the child working together to develop appropriate support strategies and outlining expectations for continued attendance. If unsafe or disruptive behaviour continues despite these supports, enrolment may be suspended or withdrawn.
8. Health, Safety, and CCTV
The safety of children is our highest priority.
CCTV cameras operate within the Centre and outdoor areas to support health, safety, and quality assurance.
Footage may be viewed only by authorised staff or management when reviewing incidents and will be securely stored and deleted in line with our Privacy Policy.
Footage will not be shared externally except where required by law.
9. Excursions and Transportation
I give permission for my child to travel on local excursions under the supervision of Centre staff.
Supervision ratios will be 1:8, unless otherwise advised.
Parents will be notified of any off-site trips in advance.
10. Parental Responsibility on Site
Parents/caregivers remain responsible for their child’s safety and wellbeing while visiting, settling in, dropping off, or collecting from the Centre.
11. Fees and Payments
I understand and accept full responsibility for payment of all fees charged to my account in accordance with published rates and policies.
Invoices are issued weekly and are due within 14 days of the invoice date, unless otherwise arranged.
Where fees remain unpaid 30 days beyond the due date, the Centre reserves the right to suspend enrolment and/or refuse attendance until the account has been paid in full or a payment plan has been agreed upon with management.
If fees remain outstanding after this time, the debt may be referred to a collection agency, and I acknowledge that I will be responsible for any costs incurred in this process.
Where a third party (e.g., WINZ, Trust, MSD or Budgeting Service) contributes to fees, full responsibility for payment remains with me.
If you are experiencing financial difficulty, please contact the Programme Manager as soon as possible to discuss a payment plan.
12. Cancellation and Absences
Cancellations must be made in writing or through Enrolmy.
If you need to cancel a booking, please do so via Enrolmy or by emailing belmontkidsnz@gmail.com.
• Cancellations made before 6pm the day prior will not be charged.
• Cancellations made after 6pm the day prior or on the day will be charged in full.
• Fees apply for all confirmed bookings unless cancelled within these timeframes.
• No fees apply for Centre closures or public holidays.
13. Late Collection
Our programme closes at the time specified for each session.
A late-collection fee may apply for children collected after closing time.
Repeated late pickups may result in suspension of enrolment.
14. Complaints and Feedback
We welcome feedback and aim to resolve concerns promptly and respectfully.
If you have a concern:
- Please speak first with the Supervisor or Manager.
- If the matter remains unresolved, submit a written complaint to andrew@belmontbaptist.org.
- If you are unsatisfied with the response, you may contact the Belmont Baptist Church leadership or, where applicable, the Ministry of Social Development (OSCAR).
All complaints will be handled confidentially and in accordance with our Complaints Policy.
15. Privacy and Data Protection
Belmont Kids is committed to protecting your privacy and complies with the principles of the Privacy Act 2020.
Personal information will only be used for the purpose of providing care and meeting our legal obligations and will be stored securely.
16. Photos, Media, and Social Media
Photographs or videos of children may be taken for programme documentation, displays, Belmont Kids promotions or internal identification. Permission to be in photos is granted in your child’s EnrolMy safety form and can be changed at any time on the form, or in writing to Belmont Kids.
17. Personal Property
The Centre is not responsible for lost, damaged, or misplaced personal belongings.
Please ensure all items are clearly named.
18. Personal Device Usage
Devices may only be brought to Belmont Kids during Holiday Programmes or full-day programmes, or for Intermediate-age students to complete homework during term time.
If brought, the following conditions apply:
• They may only be used during free time.
• They may only be used in the main seating area, not in the Quiet Room or bathrooms.
• They must not be connected to Wi-Fi — all games must already be installed. Intermediate students may connect to Wi-Fi for assigned homework only.
Any children bringing devices or phones during term time will have them stored safely in the office until pickup.
19. Updates to Terms and Policies
Belmont Kids reserves the right to add, amend, or clarify these Terms & Conditions or related policies.
Any significant updates will be communicated through newsletters, emails, or notices displayed at the Centre.
20. Personal details
I understand that my personal details can be sighted for auditing and accreditation purposes by the Ministry of Social Development under Government legislation.
21. Agreement
By submitting this form, I confirm that I:
• Have read, understood, and agree to the Terms & Conditions above;
• Have provided accurate and up-to-date information; and
• Understand that these Terms may be updated from time to time.
